About the Role
As an Executive Assistant at Inspiration Mobility Group, your key responsibility is to deliver exceptional administrative support to the executive leadership team while ensuring smooth and efficient day-to-day office functions within a rapidly evolving organization. This position demands autonomy, sound decision-making, and discretion to maintain seamless support and foster effective team collaboration.
You will directly report to the Senior Vice President of Operations and work primarily from the Washington, D.C. Dupont Circle office Tuesday through Thursday, with voluntary remote work offered on Mondays and Fridays.
Main Duties
- Coordinate the CEO's complex schedule, handling meetings across multiple regions and time zones.
- Provide comprehensive administrative assistance to the CEO and executive leaders, including drafting documents, managing files and data, processing expense reports, and organizing events.
- Maintain the headquarters' common areas and conference rooms in DC, ensuring organization, professional appearance, and adequate supplies.
- Manage incoming and outgoing correspondence, including scanning materials and organizing FedEx shipments and mailings.
- Oversee conference room bookings and facilitate meeting logistics such as agendas, catering, and audiovisual equipment setup in coordination with IT staff.
- Support staff members with administrative needs and help coordinate internal company events when required.
Candidate Profile
- Possesses 3 to 5 years of experience in administrative, coordination, or executive support roles, preferably within dynamic or startup environments.
- Has meticulous attention to detail with a strong organizational skill set to ensure accuracy in work.
- Demonstrates proactivity by anticipating requirements and efficiently managing multiple priorities independently using sound judgment.
- Exhibits excellent verbal and written communication skills, able to liaise clearly with both internal and external parties.
- Maintains strict confidentiality, exercising discretion when handling sensitive information.
- Comfortable working with data, particularly proficient in Excel for tasks such as expense reconciliation and reporting.
- Technologically adept, with advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and familiarity with AI productivity tools (e.g., ChatGPT, Claude, Copilot) to streamline processes and enhance workflows; experience with Salesforce, Jira, and Confluence is advantageous.
Compensation and Work Environment
This role offers a salary range from $75,000 to $95,000 annually.
