About The Role

Our Executive Assistant position plays a vital role in supporting senior leadership, serving as an extension of our executives and embodying the company’s ethos. This individual will masterfully manage executive schedules, travel, communications, and confidential matters, while driving organizational initiatives in collaboration with various teams.
Key Responsibilities
- Efficiently oversee calendars and scheduling, including arranging complex travel with detailed itineraries and managing expense reconciliations including P-card transactions.
- Serve as the main point of contact for key leaders and stakeholders by drafting memos, emails, presentations, and reports to represent executives.
- Organize logistics for meetings and events, coordinating with internal teams such as assistants, facilities, and IT departments.
- Handle sensitive and confidential information with utmost professionalism, discretion, and integrity.
- Support preparation of various documents including reports, presentations, and spreadsheets utilizing software such as Excel and PowerPoint.
Required Qualifications
- Bachelor's degree or equivalent professional experience.
- Minimum of 8 years providing high-level administrative assistance to C-suite executives.
- Prior experience supporting members of Executive Committees, particularly over Finance and Human Resources.
- Strong proficiency in Outlook calendaring, intermediate to advanced skills in Word, SharePoint, PowerPoint, and beginner to intermediate Excel competencies.
- Demonstrated expertise in organizing meetings and events effectively.
- Ability to navigate complex business challenges by proposing actionable solutions and collaborating cross-functionally.
- Excellent written and verbal communication skills with a proactive follow-through approach on tasks and projects.
- Strong interpersonal aptitude combined with a positive, can-do attitude.
- Proven capacity to handle confidential matters and complex assignments with sound judgment and initiative.
- Exceptional attention to detail, effective multi-tasking, time management, and a drive for results.
- Forward-thinking with planning capabilities that anticipate future needs using a process-oriented mindset.
Work Environment
This role operates in a hybrid setting with four days per week onsite in Oakland, California.

We practice transparent, equitable pay within three geographic salary zones: Zone A ($65,000 - $115,800), Zone B ($59,600 - $106,100), and Zone C ($54,200 - $96,500). Pay will be commensurate with relevant skills, experience, and location, with most hires starting within the lower half of their zone. This role is also eligible for participation in our incentive plans governed by applicable policies.
