Role Overview
The Events Sales Executive plays an essential role in driving event business and revenue generation by developing corporate accounts, responding to event inquiries, and coordinating closely with hotel departments to ensure successful event execution. This role demands maintaining the highest standards of service, adhering to hotel policies and codes of conduct, and flexibility to work outside standard hours including weekends.
Key Responsibilities
- Maintain compliance with hotel quality and conduct standards while executing duties.
- Respond promptly and professionally to incoming event inquiries via phone, email, and in-person visits.
- Develop and nurture corporate accounts, including local travel to increase market share across all revenue streams.
- Precisely assess event requirements including dates, venues, attendance, budgets, and client decision-making details to secure bookings and upsell for additional revenue.
- Maximize revenue opportunities across all food and beverage outlets by upselling and enhancing average spending.
- Conduct hotel site inspections with clients, including on weekends as necessary.
- Maintain accurate, up-to-date booking records and revenue data in the Delphi system.
- Plan and coordinate detailed event arrangements with clients, including preparation of Banquet Event Orders, group resumes, and floor plans, and liaise with hotel departments for flawless execution.
- Manage accurate communication of any changes to operational teams to avoid service disruption.
- Handle invoicing, deposit collection, and final account reconciliation in line with contracts.
- Develop ongoing client relationships to encourage repeat event business.
- Participate in meetings concerning Banquet Event Orders and group function resumes.
- Organize pre- and post-event communication meetings with stakeholders.
- Create deposit schedules and maintain comprehensive payment records in Delphi.
- Coordinate with Finance for resolution of event billing issues and review post-event Micros checks for accuracy.
- Prepare comprehensive final bills for clients covering all services and coordinate payment collection.
- Generate and process purchase orders and manage commission calculations with an associated tracker.
- Arrange special orders such as rental equipment and kosher meals, ensuring appropriate payment processing.
- Assist the Assistant Director of Groups, Catering & Events with weekly sales reporting and monthly forecasting.
- Consistently provide professional, warm, and engaging service while adhering to Rosewood grooming and presentation standards.
- Continuously seek to improve departmental procedures and implement innovative solutions.
- Perform additional duties as assigned and demonstrate flexibility in working hours, including weekends.
