Role Overview
We seek an energetic and detail-focused Events Coordinator to become part of our lively team at Novotel & Adagio Dubai Al Barsha Cluster, United Arab Emirates. The successful candidate will be instrumental in delivering extraordinary and well-coordinated events, collaborating closely with clients, vendors, and internal teams. The role involves organizing events ranging from intimate meetings to large-scale conferences, requiring strong planning and customer service skills in a multicultural setting.
Key Responsibilities
- Respond promptly and courteously to clients and vendors via phone and email within set timelines, ensuring a professional and welcoming communication style.
- Organize and manage all event logistics from the initial idea through to execution, including venue arrangements, catering, audio-visual setups, and managing guest accommodations.
- Conduct thorough site inspections and discuss event requirements with clients, offering tailored solutions to meet specific goals.
- Prepare detailed event proposals, contracts, and event orders with complete accuracy and clarity.
- Effectively manage event budgets, negotiate with suppliers, and keep expenses on track without compromising quality.
- Coordinate and relay all event information promptly to operational teams to guarantee smooth event execution.
- Keep comprehensive client records and event documentation for quick access and future reference.
- Welcome clients on arrival and maintain a supportive presence during events, resolving issues professionally and efficiently.
- Collect client feedback during and after events through surveys and follow-up calls to enhance service quality continually.
- Handle client complaints and disputes swiftly with solutions aligned to company policies.
- Manage event-related financial processes including invoice reconciliation, tracking payments, and timely financial reporting.
- Participate actively in pre-event meetings and team briefings to ensure cohesive event planning and execution.
- Seek out new business prospects and promote special offers to maximize sales opportunities.
- Maintain awareness of market trends through research on competitors and industry developments.
- Engage in ongoing professional development and training to stay abreast of best practices and enhance skills.
Candidate Profile and Qualifications
- Exceptional organizational abilities with the proven skill to handle multiple events simultaneously.
- Excellent communication skills, both written and verbal, able to engage professionally with diverse groups.
- Strong command of Microsoft Office applications including Word, Excel, and PowerPoint.
- Effective problem-solving and crisis management skills, demonstrating resilience and a solutions-focused attitude.

Experience and Education
- A minimum of two years of professional experience in event coordination, hospitality, or a related field.
- Demonstrated successful history of planning and executing a wide range of events.
- Proven skills in managing client relationships with a focus on satisfaction and retention.
- Educational background of high school diploma or equivalent is required; higher education in hospitality, business, or event management is preferred.
Language Skills
- Fluency in English both spoken and written is mandatory.
- Additional language skills, especially in Arabic or other languages prevalent in the UAE, are strongly advantageous.
Preferred Credentials and Experience
- Certification in event management or hospitality coordination.
- Experience working in multicultural or global environments.
- Knowledge of digital event management tools and marketing technologies.
- Capabilities in presentation and public speaking.
- Background in luxury hospitality or high-end event environments is a plus.
