Role Overview

The Document Controller is vital for maintaining the accuracy, integrity, and accessibility of all project-related documentation throughout the program. You will oversee control of records, drawings, correspondence, registers, and templates, ensuring compliance with agreed standards and project guidelines.

Key Responsibilities

  • Ensure precise capture, version control, and maintenance of all project documents consistent with AIR Alliance standards.
  • Maintain current, traceable, and accessible project information to support governance and decision-making processes.
  • Uphold compliance with document control standards, including naming conventions, metadata integrity, workflows, and approval paths, escalating risks as necessary.
  • Manage prompt release and distribution of controlled documents to stakeholders, ensuring they receive accurate and approved information for project tasks.
  • Provide reliable, complete, and auditable documentation to support project assurance and audits throughout the project lifecycle.
  • Protect project information by controlling access, permissions, and following information security protocols.
  • Operate the document management system daily to register, code, and advance documents efficiently through workflows.
  • Maintain accurate metadata and naming conventions to facilitate document traceability and findability.
  • Coordinate document reviews, approvals, and dispatches, ensuring smooth workflow and timely processing.
  • Offer guidance and training to teams on document control procedures and information management systems.
  • Monitor document statuses, track pending actions, and escalate bottlenecks or compliance issues impacting project timelines or data quality.
  • Keep document registers, logs, and templates orderly and consistent with approved formats.
  • Assist in preparing comprehensive documentation for audits, governance reviews, and assurance activities.
  • Support onboarding processes by managing system access and orienting new team members to document control protocols.
  • Engage and coordinate with internal and external stakeholders to exchange controlled documents while ensuring compliance and completeness.

Qualifications and Experience

  • Relevant qualifications in business administration, project administration, information or records management, or equivalent practical experience in document control.
  • Proven experience handling document control or information management within construction, engineering, infrastructure, or large complex projects; experience in alliance or joint-venture settings is highly desirable.
  • Strong expertise with document management systems and controlled documentation processes, supported by training or qualifications in related administrative or information management fields.
  • Demonstrated ability to manage extensive technical documentation like drawings, specifications, registers, and correspondence accurately and consistently.
  • Comfortable working with engineering drawings and technical documents ensuring completeness and traceability of project records.
