Position Overview

The role of Depot Clerk is pivotal in supporting the company’s vision to be a great workplace. This position involves managing receiving, dispatching, and stock control operations efficiently and accurately while maintaining safety and quality standards.

Primary Responsibilities

• Accurately handle receiving and storage of stock from main warehouses, other depots, or clients while following prescribed documentation and processes.
• Ensure dispatch activities are timely and precise by complying with formal procedures to meet site objectives.
• Maintain precise inventory records through correct data entry and timely stock count reconciliations.
• Adhere to safe working practices and all applicable safety policies and guidelines.
• Demonstrate strong teamwork, maintain positive public relations, and deliver excellent customer service.
• Perform receipt, dispatch, high-risk stock handling, inventory management, and reporting in line with procedures emphasizing safety and efficiency.

Key Accountabilities

• Commit as a team to provide clients and customers with high-quality service and pursue continuous improvements.
• Comply consistently with all site-specific safety regulations.
• Maintain cleanliness and organization within office and work areas.
• Supervise casual employees to ensure adherence to safety rules and policies.
• Conduct accurate receiving, dispatch, and storage as per system (SAGE) and documented procedures.
• Apply FIFO principles by noting receipt and dispatch dates on all items.
• Ensure stock is well organized by item, placed in designated areas, and properly labeled.
• Execute receiving and dispatch processes aligned with client service level agreements to avoid penalties.
• Perform cycle counts for stock reconciliation and report discrepancies prior to monthly stock takes for adjustments.
• Keep the warehouse tidy by orderly arranging stock and removing unnecessary items.
• Report to supervisors about necessary maintenance or cleaning tasks and issues related to equipment or facility repairs.
• Protect stock, forklifts, and other assets from damage and promptly report any such incidents.
• Maintain strict compliance with all security protocols.

Qualifications and Experience

• Completed secondary school education.
• Proficiency in both written and spoken English and Swahili.
• Competent in IT skills, including basic use of spreadsheets and word processing programs.
• Minimum 2 years of experience in an active warehouse environment.
• Capable of managing multiple tasks across various warehouse functions.
• Excellent customer service abilities.
• Desirable experience includes at least 3 years working in a telecommunication SKU warehouse and 5 years in a diverse SKU warehouse.
• Strong teamwork capabilities with effective public and customer relations skills.
• Ability to perform well under pressure with minimal supervision and meet deadlines.
• Excellent verbal and written communication skills.
