Position Summary
This role is responsible for managing and controlling inmate case history files and records accurately within the correctional system.
Key Responsibilities
- Review and verify sentencing orders, converting the sentence lengths into specific calendar dates for earliest and latest opportunities for parole, transfers, and release by factoring in statutory good time, time served, and meritorious time deductions.
- Create and maintain inmate case files comprising classification details, conduct records, confidential information, legal documents, and other relevant data. Prepare identification files for use by Correctional Officers escorting inmates beyond the facility.
- Operate automated information systems to input, update, modify, delete, inquire, and generate reports on inmate data.
- Confirm the absence of outstanding charges, warrants, or capias before inmate release.
- Respond to queries from inmates, their families, court personnel, law enforcement agencies, attorneys, and counselors. Provide testimony in court based on data from inmate case files.
- Serve out-of-state warrants to inmates, explain their legal rights and options concerning the warrants, clarify bail terms, and obtain signed acknowledgments.
- Examine legal documents to ensure they are complete, accurate, and comply with applicable state and federal laws.
- Prepare various reports related to inmate records and corrections operations.
Job Requirements
- At least six months of experience processing documents by reviewing and evaluating records for completeness and compliance with laws, regulations, and policies, resolving deficiencies, and monitoring related activities.
- Minimum six months’ experience interpreting court documents such as warrants, court orders, or sentence orders.
- At least six months’ experience interpreting laws, rules, regulations, standards, policies, and procedures relevant to the position.
- Experience of six months using computerized information systems for data entry, modification, retrieval, and reporting.
Additional Hiring Conditions
- Must be legally authorized to work in the U.S. The State of Delaware participates in the Federal E-Verify system to confirm work authorization.
- This position falls under a collective bargaining agreement; employees may be required to join the labor organization or opt out of membership without paying dues.
- Pre-employment drug testing is mandatory after conditional offer.
- A satisfactory criminal background check is required; costs may be charged to the applicant.
- Pre-employment baseline two-step Tuberculin Skin Test (TST) required upon conditional offer.
- All new hires must attend the Statewide New Employee Orientation (SNEO) on their first workday at designated Kent or New Castle County locations.
