Role Overview
The Contracts Executive is essential in facilitating the management of contracts across the company's diverse brands and business units. This role requires detailed and accurate oversight of contract creation, review, and administration to ensure conformity with company policies and applicable regulations. The candidate must be organized and capable of handling multiple contracts independently.
Key Responsibilities
- Draft, assess, and modify a variety of commercial contracts including service agreements, supplier/vendor contracts, NDAs, and framework agreements, maintaining legal soundness and alignment with company templates.
- Detect and address gaps or risks in contract language, suggesting amendments or escalating issues appropriately.
- Incorporate negotiated changes with precision, maintaining careful version control.
- Keep an updated repository of contract templates and approved clauses for organizational use.
- Prepare contract summaries, highlight key terms, and maintain obligation trackers for internal teams.
- Manage the entire contract lifecycle, from drafting through execution, performance monitoring, renewals, and closures.
- Maintain a well-organized contract repository with proper filing of executed agreements and tracking of important dates like renewals and expiries.
- Issue reminders to stakeholders ahead of contract milestones to ensure timely actions.
- Coordinate approval and signature processes ensuring execution by authorized personnel.
- Monitor contract compliance and report deviations or non-conformities to management.
- Ensure contracts meet UAE laws and corporate governance standards, supporting risk identification and documentation.
- Maintain records aiding audit readiness and assist in dispute resolution by managing relevant contract documentation.
- Support tender preparations including RFPs and RFQs, tracking deadlines and coordinating departmental inputs.
- Assist vendor and supplier contract administration by tracking service delivery, liaising with internal teams, and preparing for performance reviews.
- Generate contract status and management reports summarizing active contracts, renewals, amendments, and portfolio performance.
Candidate Profile
- Possess 2 to 4 years’ experience in contracts administration, legal support, commercial roles, or procurement/finance with contract exposure.
- Hold a bachelor’s degree in Business Administration, Law, Finance, Supply Chain Management, or related disciplines.
- Exhibit strong knowledge of contract frameworks, commercial terminology, and legal language with risk assessment capabilities.
- Demonstrate excellent drafting, writing, and detail orientation skills.
- Be well-organized, able to manage multiple contracts and deadlines without supervision.
- Maintain professionalism, discretion, and proper handling of confidential information.
- Experience in automotive, fleet, or car rental sectors is advantageous but not essential.
