Having opened flagship Institutes in New York (2022) and South Florida (2024), we are preparing to launch our Los Angeles Institute in spring 2026.

Role Overview

We are seeking a Care Coordinator to join our founding team in Los Angeles. This role demands exceptional administrative and client service abilities to deliver an outstanding member experience while setting new standards in care coordination.

Ideal candidates will be highly organized, empathetic, and proactive problem solvers collaborating closely with our clinical team. They understand that providing peace of mind to members is paramount and act as both a stabilizing presence and the driving force behind member care.

This position requires flexibility, high standards, self-motivation, and excellent interpersonal skills. Success depends on attention to detail and the ability to thrive in a fast-paced environment, delivering prompt, thoughtful responses. Key Responsibilities

  • Act as the main contact for member appointments and administrative needs, efficiently managing scheduling for clinical and membership teams.
  • Provide direct support to physicians and specialists, managing coordination for their patient panels.
  • Collaborate with teams across Care Coordination, Hospitality, Membership, and Clinical Operations to guarantee integrated and seamless care for members.
  • Deliver high-level administrative assistance to clinical teams, such as managing calls, preparing for meetings, maintaining physician calendars, and arranging conferences.
  • Help maintain and update back-end administrative systems to ensure timely and accurate communication.
  • Support procurement of medical records and follow-ups from external providers.
  • Utilize EMR systems and databases to manage clinical records confidentially and accurately.
  • Ensure clinical teams remain organized and on schedule by providing consistent communication throughout the day.
  • Become skilled in the Institute’s technologies, processes, and best practices to optimally support clinical staff and enhance member experience.
  • Stay informed on departmental initiatives and timelines.
  • Maintain professionalism and courtesy with all stakeholders, internal and external.
  • Assist with coverage during after-hours and weekends as required.

Compensation

Annual salary ranging from $85,000 to $100,000.

Candidate Requirements

  • Willingness to work on-site in Beverly Hills, CA, five days per week.
  • Minimum of five years’ customer service experience in clinical, hospitality, or membership settings.
  • Strong commitment to accuracy, relationship-building, and confidential information protection.
  • Adaptability and flexibility in a dynamic, fast-paced workplace.
  • Professional and effective communication skills via email and phone.
  • Healthcare experience is preferred but not mandatory.
  • Familiarity with HIPAA privacy and security regulations preferred but not required.
  • Experience using platforms like Zendesk, Spruce, and Slack is advantageous.
  • Bachelor’s degree required.
  • Experience with event or travel coordination considered a plus.
