Role Purpose
We are searching for a meticulous and proactive Contract Specialist responsible for managing low-to-medium value contracts throughout the APAC region. This position oversees the entire contract lifecycle including renewals, vendor liaison, bidding procedures, negotiation, and collaboration with departments such as Procurement, Legal, and Global Governance.
Key Responsibilities
- Manage and take full ownership of existing contracts and related catalogues across the APAC region, serving as the primary contact for contract queries and vendor management.
- Maintain and ensure accuracy of the contract repository, compliance with terms, and monitor key contract milestones.
- Track contract renewal timelines, analyze spending patterns, and recommend renewal, renegotiation, or termination actions aligned with business needs and cost-effectiveness.
- Work closely with Buyers and end users to determine contract renewal necessities, ensuring alignment of procurement strategy with business goals and timelines.
- Provide frequent updates to internal stakeholders about contract status and potential risks, with strong engagement capabilities to address inquiries confidently.
- Manage contract extensions and creation requests from inception through to completion, ensuring contractual documents are precise and comply with company standards.
- Collaborate with Global Governance and Legal teams for contract drafting, review, and execution, making certain all terms adhere to organizational policies and regulations.
- Oversee supplier relationships, managing vendors under contract and resolving any performance issues or escalations.
- Initiate and lead bidding and tender processes for new and renewal contracts, evaluating vendor proposals with emphasis on commercial and technical factors.
- Synthesize and present complex bid information into clear, concise reports that inform commercial decisions and risk assessments.
- Lead negotiations on commercial terms and legal clauses to secure cost savings while mitigating risks and ensuring compliance.
- Provide procurement support for critical sourcing projects, processing purchase requisitions, facilitating tenders, and ensuring adherence to procurement policies.
Candidate Profile
- In-depth knowledge of contract lifecycle management and legal clauses with proven negotiation skills.
- Experience in sourcing, bidding, and vendor negotiations within procurement.
- Understanding of procurement policies, processes, and compliance standards.
- Ability to analyze spending data to identify cost-saving opportunities.
- Excellent stakeholder management, analytical, problem-solving, and communication skills.
- High attention to detail and ability to manage multiple contracts simultaneously.
- Familiarity with procurement software tools such as Oracle or Coupa is advantageous.
- 3 to 6 years of relevant experience, preferably handling low-to-medium value contracts in a global or regional APAC setup.
- Bachelor's degree in Engineering, Business Administration, Supply Chain Management, or Law.
