Key Responsibilities

• Oversee coordination and management of customer orders from initial intake through contract fulfillment, ensuring adherence to contract scope, delivery timelines, and cost parameters.
• Work closely with internal teams including Sales, Sales Engineering, Finance, Aftersales, and Logistics, along with factories, suppliers, and customers, to facilitate smooth order processing.
• Assist in managing payment processes such as down payments, milestone payments, Letters of Credit, Bank Guarantees, and Performance Guarantees per contractual agreements.
• Handle SAP transactions, including generating batch and serial numbers, and perform Goods Receipt operations for received products and third-party purchases.
• Organize shipment processes, including instructions, vessel bookings, Bills of Lading, and delivery documentation.
• Ensure collection of payments before delivery and maintain follow-up communications with customers.
• Verify accuracy and completeness of delivery notes, supplier and freight invoices, and shipping documents.
• Coordinate inbound and outbound logistics with warehouses, factories, and freight forwarders.
• Manage engine accessory deliveries, resolve discrepancies in shipments, and handle post-delivery claims for shortages or damages.
• Prepare Letters of Credit documentation and support Finance with compliance and submission requirements.
• Maintain thorough records and documentation throughout the order fulfillment lifecycle.
• Conduct ad-hoc projects and assignments as assigned.

Qualifications and Experience

• Bachelor's degree in Business Administration or a related field.
• Minimum of 3 years' experience in order management, fulfillment, or project execution within an engineered solutions environment.
• Experience in diesel engines, generators, or data center backup power sectors is advantageous.
• Excellent interpersonal, written, and verbal communication skills with a strong team orientation.
• Good knowledge of Asian business cultures, regional practices, and customer service principles.
• Capability to work efficiently under pressure, handle challenging scenarios, and take full responsibility for order management tasks.
• Highly organized, able to multitask and manage various priorities simultaneously.
• Proactive, resourceful, and adaptable to dynamic business requirements.
• Strong skills in project tracking and maintaining updated project information.
• Familiarity with SAP Sales & Distribution module, import/export shipping processes, logistics, Incoterms, and Letter of Credit administration.
• Proficiency in Microsoft Office applications such as Excel, Word, and PowerPoint.
• Detail-focused with a high degree of professionalism, accuracy, and accountability.
