Position Overview

The company is looking for a Shipping and External Warehouse Supervisor to oversee the shipping operations at their site in Dungarvan, County Waterford, Ireland. This role involves management of customs compliance, and maintaining strong partnerships with external warehouses and logistics providers. The supervisor ensures the smooth, compliant, and safe transportation of goods while maintaining high standards in customer service, quality, inventory management, and cost control. The role requires leading a small team and collaborating cross-functionally with Supply Chain, Quality, Manufacturing, Finance, and Customer Service departments, as well as external logistics partners.

Key Responsibilities

• Lead and develop the Shipping and External Warehouse team to foster a high-performing, customer-oriented culture.
• Manage day-to-day shipping tasks, ensuring shipments are planned, documented, dispatched, and delivered according to customer and business expectations.
• Oversee import/export customs operations to ensure compliance with trade regulations and precise customs documentation.
• Serve as the primary site liaison for external warehouse providers, freight forwarders, carriers, customs brokers, and 3PL/4PL partners.
• Handle operational escalations including shipment issues, customs delays, inventory discrepancies, warehouse performance, and related customer service risks.
• Monitor and enhance key performance indicators related to service levels, quality, inventory accuracy, safety, and cost-efficiency.
• Guarantee compliance with GMP, GDP, Environmental Health and Safety (EHS), and company policies in all shipping, customs, and warehousing activities.
• Maintain accurate inventory governance across SAP systems, external warehouse software, and logistics providers to ensure stock accuracy and prompt reconciliation.
• Support audit processes, manage investigations, address deviations, corrective actions, and customer complaints as needed.
• Drive continuous improvement initiatives to boost operational efficiency, compliance, and service quality.
• Develop and update Standard Operating Procedures (SOPs), work instructions, and training resources while ensuring team competency in relevant processes and systems.

Qualifications and Experience

• Degree or equivalent in Supply Chain, Logistics, Business, or related fields.
• Three to five years' practical experience in shipping, warehousing, customs, logistics, or supply chain functions within a manufacturing setting.
• Demonstrated leadership or supervisory experience in a dynamic operational environment.
• Solid understanding of shipping workflows, customs adherence, inventory controls, logistics documentation, and customer delivery criteria.
• Proficiency in ERP platforms such as SAP and advanced skills in Microsoft Excel and reporting.
• Capable of managing multiple stakeholders and collaborating effectively across diverse teams.
• Analytical mindset with strong problem-solving and decision-making abilities, leveraging KPIs to enhance operational performance.
• Knowledge of quality assurance, regulatory compliance, safety standards, and SOP-driven procedures in manufacturing contexts.

Preferred Skills and Experience

• Over five years’ experience in pharmaceutical, medical device, consumer healthcare, FMCG, or similarly regulated industries.
• Experience managing relationships with external warehouses, freight forwarders, customs brokers, and 3PL/4PL logistics partners.
• Familiarity with Good Manufacturing Practices (GMP), Good Distribution Practices (GDP), trade compliance, and temperature-controlled logistics.
• Background in supporting audits, handling deviations, CAPA investigations, and quality management systems.
• Experience with SAP ECC, SAP S/4HANA, Warehouse Management Systems (WMS), or other logistics management software.
• Knowledge of Lean, Six Sigma methodologies, continuous improvement, or project management techniques.
