Role Purpose
The Human Resources Representative serves as the key contact for HR services and talent acquisition coordination. This role primarily handles evaluating criminal convictions during background checks and offers hiring recommendations to hiring managers. The position supports Ross Stores Inc.'s background screening process by diligently researching and resolving "needs review" background checks in line with legal and company policies. It also involves managing incoming inquiries via phone and email from various internal stakeholders about recruiting, onboarding, HR policies, and payroll.
Key Responsibilities
- Monitor multiple HR inboxes and respond or escalate inquiries appropriately.
- Support staffing and HR systems from job requisition to offer processing, including job postings, coordinating interviews, managing temporary staffing programs, and administering the Associate Referral Award.
- Handle high call volumes from associates regarding payroll, benefits, leave of absence, and HR system assistance, aiming for first-call resolution.
- Capture and distribute relevant information to appropriate teams quickly through the case management system, logging all inquiries with call details.
- Prioritize and escalate critical or risk-related cases to ensure prompt resolution.
- Track workload and generate reports on customer service requests.
- Manage all facets of background screening adjudications, including verifying credentials, assessing candidates per legal requirements, researching qualifications, determining pass/fail outcomes, and advising clients accordingly.
- Work closely with the background check vendor and internal legal teams to maintain accurate tracking, resolve issues, and optimize processes.
- Maintain accurate data entry and reporting of background check results in HR systems.
- Communicate background check outcomes effectively to hiring managers, supervisors, and recruiters.
- Stay current with background check laws and prepare customized correspondence as needed.
- Assist with special projects and additional duties as assigned.

Qualifications and Skills
- Preferred bachelor's degree or higher
- 1 to 3 years of administrative experience
- Proficiency in Microsoft Office tools, including Word and Excel

- Ability to maintain confidentiality and discretion handling sensitive information

Physical and Work Requirements
This role primarily involves office-based tasks conducted on a computer, requiring consistent sitting, standing, walking, telephone communication, meeting attendance, typing, and handling paperwork. Regular attendance and punctuality are expected. Visual ability to read printed or electronic information is necessary.
The position can be performed remotely anywhere in the United States, except for Colorado and New York City.

Compensation
The salary range for this position is $22.69 to $32.79 per hour, dependent on experience, qualifications, and location. This represents one component of an overall compensation package.
