About the Role

The Real Time Analyst is tasked with overseeing store personnel scheduling requirements, ensuring efficient staffing through optimal schedule management. This role involves direct support to line managers and resolves queries related to Workforce Management (WFM) systems. The analyst monitors, reports on, and tracks compliance trends within WFM tools to maintain smooth operations.

Key Responsibilities

  • Manage scheduling demands and requirements for store staff ensuring optimal coverage.

  • Produce weekly reports detailing the impact of unpaid grace periods on employee pay and various overtime categories (OT1.5, OT2, OT2TAFW) to identify problematic areas across stores, regions, or brands and assess budget versus actual cost.
  • Provide real-time reporting on timesheets, including utilisation adherence rates and schedule compliance.
  • Contribute inputs to scheduling processes such as trading hours, skill requirements, and keyholder assignments, sharing trends with the WFM Scheduling Analyst.
  • Deliver regular feedback to WFM Analysts based on data findings.
  • Handle system maintenance and support for real-time monitoring, incident logging, product support calls, and management of background jobs related to automated store processes.
  • Monitor and track real-time WFM compliance and short-term adherence, analyzing trends to improve workforce efficiency.
  • Act as the initial response team for WFM operational issues in real-time and monitoring store clock systems.

Qualifications and Experience

  • Minimum educational requirement is completion of Matric/Grade 12.
  • Additional qualifications in Mathematics, BSc, BCom Statistics, or IT are advantageous.
  • At least 2 years of experience in a similar role involving WFM scheduling, forecasting, and real-time operations.
  • Proficiency in MS Office with capabilities in database analysis and problem-solving.
  • Familiarity with WFM software such as Aspect (Alvaria), Genesis, Dayforce, Kronos, and Total IX.
