Job Summary
BEEAH Planners, Architects and Engineers is seeking a Project Administrator to support project operations in Riyadh. This role focuses on keeping project correspondence, records, reports, and coordination activities organized and on track.
Role Responsibilities
- Handle all incoming and outgoing formal communication, including letters, emails, and memoranda, and track responses within the required timeframes.
- Maintain a structured archive of technical and administrative records such as drawings, reports, meeting minutes, and change requests so they can be retrieved easily when needed.
- Prepare weekly and monthly progress reports for management and decision-makers, working with engineering teams to collect the necessary data.
- Draft meeting minutes, distribute them to the relevant stakeholders, and follow up on the agreed action items.
- Manage and update the central correspondence and document register while keeping reference numbers accurate and clear.
- Coordinate among all related parties, including the owner, consultant, contractor, and suppliers, to ensure smooth information flow and timely communication.
- Track schedules and remind teams of deadlines for deliverables and administrative requirements.
- Provide administrative assistance to the project team and carry out any other related tasks as business needs require.
Qualifications and Requirements
- A bachelor’s degree in Business Administration, Quality, Engineering, or a closely related field is required.
- 1 to 2 years of relevant experience in a similar role, preferably on engineering or construction projects.
- Strong working knowledge of Microsoft Office, especially Excel and Word.
- Familiarity with document management systems such as Aconex, SharePoint, or similar platforms is preferred.
- Ability to prepare professional correspondence and reports in both Arabic and English.
- High attention to detail, strong organization, and the ability to manage priorities while working under deadlines.
- Effective communication and coordination skills for collaboration with cross-functional teams.
