Job Overview
We are searching for a skilled Personal Assistant to deliver dedicated one-on-one assistance to the principals of a private family office situated in downtown Toronto. This role is fully onsite and focuses exclusively on managing the family's personal matters, while another individual handles corporate affairs.
Primary Responsibilities
- Oversee complex family calendars, keeping schedules organized and resolving conflicts proactively.
- Arrange domestic and international travel logistics including flights, accommodations, transportation, visa requirements, itineraries, and activities.
- Manage medical appointment bookings and provide ongoing reminders for family members.
- Coordinate children’s extracurricular registrations and liaise with schools about absences and scheduling details.
- Maintain and organize important family documentation, ensuring records are up-to-date.
- Handle household bill payments and keep detailed records of purchasing and expenses.
- Assist with personal shopping, errands, and in-depth product research to find optimal options considering quality, availability, and price.
- Plan and coordinate celebrations such as birthdays, holidays, charitable events, and other personal gatherings.
- Research and organize programs, camps, sports, lessons, and recreational activities for family members.
- Receive and organize all incoming mail and deliveries.
- Provide broad administrative support while strictly preserving confidentiality at all times.
Requirements and Qualifications
- Proven experience working as a Personal Assistant or in a comparable private support position.
- Preferably experienced supporting high-net-worth individuals, executives, or private families.
- Outstanding organizational abilities to juggle various competing priorities effectively.
- Strong interpersonal and communication skills with a polished and professional demeanor.
- Advanced skills in Microsoft Outlook, Excel, and the Microsoft Office suite.
- Resourceful, proactive mindset with the ability to anticipate needs independently.
- High discretion, sound judgment, and professionalism are essential.
- Must be comfortable working onsite five days per week in downtown Toronto.
