Kreol Travel Retail, a division of the group, is a multi-category distributor that services key duty-free and travel retail operators throughout the Middle East, Indian subcontinent, and Africa. Their extensive product range includes food, confectionery, beverages, fragrances, personal care, and travel accessories.
Role Overview
We are seeking a meticulous and proactive Import & Export Coordinator to manage daily order processing and shipment activities within the travel retail division. You will be responsible for overseeing customer orders from initial receipt through final delivery, coordinating with suppliers and logistics partners, preparing shipping documentation, and ensuring that all operational records are accurate and timely.
This role is ideal for someone experienced in FMCG or CPG sectors who appreciates precision, efficient responsiveness, and timely follow-up within a dynamic distribution environment. There will be progressive training providing increased responsibilities aligned with the operations of your assigned key account.
Key Responsibilities
- Manage and coordinate customer sales orders from receipt to delivery completion.
- Handle supplier purchase orders, monitor production status, stock levels, and dispatch schedules.
- Organize and supervise import/export shipments via air, sea, and road transport.
- Communicate effectively with freight forwarders, transporters, clearing agents, suppliers, and customers.
- Prepare and validate commercial invoices, packing lists, certificates of origin, and other required shipping paperwork.
- Ensure shipment documents are accurate and comply with customer and destination regulations.
- Monitor shipment progress and proactively inform stakeholders of any delays, documentation issues, or operational risks.
- Coordinate labeling, packing, palletizing and other shipment-specific requirements per customer specifications.
- Maintain precise order, shipment and delivery records using Odoo ERP and Excel trackers.
- Assist with the preparation and submission of documents for customer delivery appointments and goods receipt.
- Follow up on proof of delivery, and address shipment discrepancies, shortages, or damages.
- Organize and manage both digital and physical records related to orders and shipments.
- Collaborate closely with commercial, finance, warehouse, and supply chain teams to resolve operational challenges.
- Provide administrative support and coordination for key customer accounts within the division.
Candidate Profile
- Bachelor’s degree in supply chain, logistics, business administration, commerce, or a related discipline.
- Demonstrated experience within FMCG or CPG industries.
- Hands-on experience with import/export operations, shipping coordination, or fulfilling international orders.
- Good understanding of shipping documents such as commercial invoices, packing lists, and certificates of origin.
- Familiarity with Incoterms, different freight modes, and customs clearance procedures.
- Excellent attention to detail with the ability to detect errors or inconsistencies in documents and orders.
- Proficient with Microsoft Excel and other Microsoft Office applications.
- Strong English communication skills, both written and spoken.
- Outstanding organizational skills, ability to manage follow-ups and time efficiently.
- Capable of handling multiple orders and shipments concurrently.
- Self-motivated, reliable, and ready to take responsibility for routine operational duties.
- Experience with Odoo or alternative ERP systems is advantageous.
- Prior UAE market experience would be preferred.
Work Location and Schedule
- The position is located at Dubai Investments Park 2, Dubai.
- Applicants must be willing and able to commute daily to Dubai Investments Park 2.
- The workweek runs Monday through Friday, with a half working day on Saturday.
