Role Summary
The HR Operations Specialist is responsible for managing the day-to-day administrative, compliance, and technical HR activities that ensure efficient and lawful human resources operations throughout the employee life cycle. The role encompasses HRIS support, onboarding and offboarding coordination, benefits and payroll administration, policy enforcement, and responding to employee questions.
Key Responsibilities
- Oversee the HR email inbox, respond to inquiries, and direct requests to relevant HR staff.
- Facilitate onboarding, pre-boarding, and exit procedures.
- Keep employee records current, including updates of status changes, life events, and work location assignments.
- Administer leave programs, workers’ compensation incidents, and workplace accommodation requests.
- Handle administrative HR requests such as employment verification and preparation of business cards.
- Manage benefits enrollment, modifications, terminations, including COBRA administration.
- Assist with annual open enrollment and benefits contract renewals.
- Process and reconcile benefit invoices for medical, dental, vision, commuter, and other insurance plans against budgets.
- Support payroll inputs for merit raises, mid-year and annual salary adjustments.
- Monitor benefits rebates, expenses, and generate related reports including Form 5500 filings.
- Maintain HRIS databases, organizational charts, and HR metrics dashboards.
- Support regulatory compliance reporting requirements such as EEOC, BLS, Census, OSHA, and IRS filings.
- Prepare regular HR reports including PTO status and termination listings.
- Contribute to employee handbook updates, policy revisions, and track acknowledgments.
- Compose and circulate HR communications and reminders.
- Support employee recognition initiatives, company anniversaries, and events.
- Assist with HR meetings and town halls by taking notes and facilitating follow-ups.
- Participate in HR team and global meetings providing administrative support as needed.
- Provide reception coverage and general HR administrative assistance.
- Contribute to special HR projects, product launches, and year-end processes.
Qualifications and Experience
- Bachelor's degree in Human Resources, Business Administration, or related discipline.
- Minimum three years of professional HR experience including benefits administration, HRIS management, payroll assistance, and full employee lifecycle handling.
- Required proficiency and prior experience using ADP HRIS system.
Skills and Competencies
- Excellent organizational skills with strong attention to detail and ability to manage time effectively.
- Advanced Microsoft Excel capabilities including VLOOKUP, XLOOKUP, and pivot tables.
- Comprehensive understanding of benefits enrollment, changes, and COBRA policies.
- Strong knowledge of HR policies, employment laws, and compliance standards.
- Effective communication and interpersonal abilities.
- Maintains confidentiality and discretion when handling sensitive information.
- Proactive, self-driven personality capable of handling multiple priorities in a fast-paced environment.
