Role Overview
We seek a highly organized and detail-focused Executive Assistant to provide dedicated administrative and personal support to AvantStay's CEO and Founder. The role demands managing daily schedules, arranging travel plans, facilitating communication, and assisting with personal tasks. Ideal candidates are proactive, resourceful, and experienced in supporting senior-level executives.
Key Responsibilities
- Oversee daily scheduling, coordination, and meeting logistics, acting as liaison between the CEO and internal/external parties.
- Plan and coordinate staff gatherings and executive team events, including offsite meetings.
- Manage complex travel itineraries for the CEO's engagements in the US and internationally.
- Participate in designated meetings, record notes, distribute minutes, and ensure follow-up on action items.
- Anticipate CEO needs and independently identify and address potential issues.
- Prepare the CEO for meetings by compiling relevant documents, reviewing agendas, attendees, and objectives.
- Handle confidential materials with the utmost discretion.
- Represent the CEO positively by fostering relationships with executives, the CEO’s network, investors, board members, consultants, and other stakeholders.
- Schedule personal appointments and manage other significant personal responsibilities as required.
- Perform additional duties as assigned.
Candidate Requirements
- Bachelor’s degree is required.
- Minimum five years’ experience supporting senior or C-level executives; startup experience preferred.
- Exceptional organizational skills with the ability to multitask in a dynamic, fast-paced environment.
- Strong verbal and written communication abilities, including drafting correspondence and presentations.
- Flexibility to work beyond standard office hours when necessary.
- Maintain confidentiality and professionalism when handling sensitive information.
- Ability to work independently under minimal supervision and manage a high volume of tasks effectively.
