About the Role
We are seeking an Interim Executive Assistant to offer high-level administrative support to the Senior Vice President of Global Investment along with other designated leaders within the organization. This role is responsible for managing travel arrangements, expenses, scheduling meetings, and performing a variety of administrative duties to enhance organizational efficiency.
Key Responsibilities
- Organize travel plans and manage expense processing for the SVP of Global Investment and other senior leaders.
- Coordinate international travel logistics and manage global calendars.
- Arrange and schedule various meetings and appointments.
- Assist team members in developing Investment Memos, Strategy Papers, and presentations.
- Support the preparation of market strategy documentation and conduct market analysis.
- Participate in internal and external meetings to provide administrative backing as needed.
- Serve as the administrative liaison between Strategy or Hyperscale teams and other functional departments including product marketing, business management, and regional operations.
- Collaborate with the central marketing department to facilitate marketing tasks such as planning major global events.
- Coordinate with the Operations and IT departments regarding office equipment management.
- Work closely with the Finance team to ensure timely invoicing and payment processing.
- Provide support to visitors and assist during meetings, both on-site and off-site.
- Manage communication with facility management vendors including cleaning, catering, and security service providers.
- Plan and organize on-site or off-site events such as parties, celebrations, and conferences.
- Perform miscellaneous duties as assigned.
Knowledge and Attributes
- Proven track record as an Office Manager or Executive Assistant.
- Well-versed in office administrative responsibilities, systems, and standard procedures.
- Proficient with MS Office suite, including Excel, Word, PowerPoint, and Outlook.
- Experienced in handling office equipment such as telecommunications tools, fax machines, and printers.
- Strong time management capabilities and able to handle multiple tasks effectively while prioritizing work.
- Meticulous attention to detail coupled with good problem-solving skills.
- Excellent English communication skills, both written and verbal.
- Effective organizational and planning skills suitable for a fast-moving work environment.
- Innovative thinker capable of recommending and implementing process improvements.
Academic Qualifications & Certifications
- High School diploma required; further certification or qualifications as an Executive Assistant or Secretary are advantageous.
- Relevant professional certifications are preferred.
Experience
- At least five years of relevant executive administrative experience.
- Advanced expertise in similar roles within related sectors.
- Strong working knowledge of MS Office with advanced skill set.
