Job Summary

Galliford Try is seeking an experienced Document Controller to join our Environment Division supporting Wessex Water projects across Dorset, Wiltshire, Somerset, and Bristol. The successful candidate will ensure effective management of design and current project documentation to facilitate easy access for site teams.

Key Responsibilities

  • Ensure alignment of document management with our Business Management System (BMS).
  • Promote Information Management compliance throughout project activities.
  • Regularly coordinate with Health & Safety and Quality Teams, including monthly engagement.
  • Participate in design team meetings to maintain system compliance.
  • Adhere to company and project-specific documentation protocols, including IMP and BEP.
  • Create and maintain accurate registers for internal and external audits.
  • Manage revision control, recording status changes transparently within company systems.
  • Ensure timely distribution and availability of the latest live design documentation.
  • Control and maintain all design information methodically, meeting deadlines.
  • Prepare and issue reports to internal and external stakeholders as needed.
  • Facilitate consultant and subcontractor system access and coordinate their training.
  • Provide daily updates on new or revised information to site teams.
  • Compile monthly system reports covering Security Group and system usage.
  • Contribute to continuous system improvements.
  • Attend site awareness training sessions.
  • Execute additional duties as assigned by the line manager.

Administrative Duties

  • Transfer data from other project systems into company platforms, including contract management tools.
  • Assist project teams with workflow processes, including RDD, RFI, and Change Control management.
  • Conduct quality assurance checks on workflows.
  • Support Commercial and Design Managers by organizing virtual containers within document management systems.
  • Manage user access by inviting or revoking permissions internally and externally.
  • Configure document containers for external parties when necessary.
  • Oversee distribution groups and system templates.
  • Create matrix and notification transmittals as requested.
  • Regularly audit systems to ensure compliance with the BMS.
  • Maintain consistent uploading and naming conventions for design documentation.
  • Serve as the system champion for project teams, offering user support.
  • Coordinate print services for drawings and manage handover documentation with design and site teams.
  • Label outdated documents appropriately (e.g., stamped 'Scanned to System').
  • Report monthly progress updates to the Project Management Team.

Candidate Profile

  • Experience working with a main contractor is preferred.
  • Operational knowledge of Document Control processes.
  • Familiarity with Viewpoint for Projects and Field View tools is advantageous.
  • Proficient with Microsoft Office and Viewpoint software.
  • Ability to prioritize tasks effectively while handling multiple contracts.
  • Strong accuracy and attention to detail under pressure to meet project deadlines.
