Role Overview
We are seeking a business support administrator for a maternity cover fixed-term contract of 12 to 15 months. This full-time position is office-based in Plymouth. The role involves managing client accounts, overseeing payments within a predominantly B2B context, and maintaining strong client and colleague relationships.
Key Responsibilities
- Manage all aspects of credit control including payment collection, maintaining customer accounts, daily bank reconciliations, invoicing, monthly statements, along with cancellations and transfers, resolving client queries efficiently.
- Support finance activities by processing accounts payable, reconciling supplier invoices, staff expenses, and company credit cards in compliance with procedures.
- Coordinate administrative tasks for training sessions, handling bookings, amendments, cancellations, and ensuring required details are captured before delivery.
- Collaborate with internal teams to ensure trainers receive necessary resources, pre-course materials and perform final checks to uphold high customer service standards.
- Execute awarding body processes by submitting course notifications timely, organizing virtual training links, managing tutors’ schedules, and maintaining tracking records.
- Provide broad administrative support including responding to customer inquiries, assisting with online exam invigilation, and supporting daily operations of the Plymouth Training Centre such as preparing rooms and refreshments.
- Maintain precise business records and aid the larger team with miscellaneous administrative duties as needed.
Candidate Profile
- At least two years’ experience in fast-paced finance, credit control, or office support roles.
- Proficient in Xero accounting software and Microsoft Office suite (Excel, Word, Outlook, SharePoint, Teams).
- Exceptional organizational skills and rigorous attention to detail.
- Ability to prioritize tasks under pressure and consistently meet deadlines.
- Strong communication skills, able to interact confidently with clients, colleagues, and stakeholders.
- Comfortable working with multiple software platforms including CRM and training management tools.
- Positive, proactive attitude with sound problem-solving capabilities and a sense of humor.
