Job description

Overview

This role involves overseeing and maintaining the central registry that contains all licenses issued by AD Ports Group. The focus is on ensuring data accuracy, completeness, and integrity across all records. The position requires active coordination of license renewals, communication with both internal teams and external stakeholders, plus preparing detailed reports for management and government authorities including the Department of Municipalities and Transport (DMT). The individual will play a key part in managing a streamlined and effective licensing lifecycle for port and marine service providers.

Key Duties

  • Manage the comprehensive register of all marine and port licenses to ensure correctness and timeliness of data.
  • Monitor upcoming license renewal deadlines and work closely with licensees to facilitate timely renewals.
  • Create and distribute routine and special reports on licensing metrics, renewal statuses, and compliance for internal departments and external bodies like DMT.
  • Engage with service providers to address licensing questions, support renewal procedures, and nurture strong ongoing relationships.
  • Organize and maintain all licensing documents in compliance with AD Ports Group’s policies, preparing files for audits when needed.
  • Support the administration of the online No Objection Certificate (NOC) platform in alignment with directives from the AD Department of Economic Development, ensuring providers’ adherence to requirements.
  • Seek opportunities to enhance the registry management and reporting processes by optimizing workflows and leveraging technology.
  • Issue initial invoices through the internal billing system and work with Finance Control to guarantee accurate billing for licensing services.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Maritime Studies, or a related discipline.
  • Fluent English communication skills, both written and verbal; Arabic language ability is considered beneficial.
  • Between 2 to 4 years of relevant administrative, coordination, or regulatory experience.
  • Proficient in records management, database administration, or roles demanding meticulous accuracy.
  • Familiarity with the regulatory frameworks and procedures of AD Ports Group and related government agencies.
  • Experience applying IT solutions, databases, and web tools to streamline and automate workflows.
