Role Overview
As an Administrative Assistant/ Officer within Knight Frank’s Property & Facilities Management team, you will play a vital role supporting both property owners and tenants, as well as internal teams. Reporting to the Site Head, your responsibilities will include onboarding new owners and tenants, coordinating service requests, managing administrative tasks, and sustaining an organized documentation system. This position suits a proactive individual with excellent communication and interpersonal capabilities.
Key Responsibilities
- Serve as the primary contact point for property owners and tenants; professionally manage phone inquiries and handle complaints.
- Facilitate onboarding processes, including card access applications, distributing keys, managing season parking, and overseeing move-in/move-out logistics to ensure smooth tenant transitions.
- Coordinate on-site inspections by technicians and property executives in response to resident service issues.
- Handle petty cash vouchers, facility booking arrangements, and compile weekly and monthly submissions for headquarters accounting.
- Establish and maintain an efficient filing system to support streamlined documentation and daily operations.
- Track office stationery inventory and maintain records for equipment upkeep.
Candidate Profile
- Excellent communication and interpersonal skills with a positive, solution-oriented mindset.
- Attention to detail and strong organizational abilities.
- Proficient with Microsoft Office and comfortable leveraging technology for property management-related tasks.
- Experience in property/facilities management, hospitality, tourism, or hotel management is advantageous.
- Minimum qualification of 'O' Level or equivalent.
