Position Summary
The Workforce Coordinator plays an essential role by providing administrative and coordination support to ensure smooth and compliant crew management. This position focuses on workforce planning, certification tracking, scheduling coordination, and payroll reconciliation.
Primary Responsibilities
- Manage records of crew certifications, training, and qualifications.
- Monitor certification expiration dates and alert management of upcoming renewals.
- Draft crew schedules based on operational needs and collective agreements for review.
- Distribute finalized schedules and communicate any updates to staff.
- Keep attendance logs and prepare related reports.
- Maintain accurate records supporting adherence to safety and operational compliance.
- Analyze staffing and attendance data to identify trends.
- Produce confidential reports to assist management decision-making.
- Ensure documentation complies with company policies and collective agreements.
- Validate payroll data against approved schedules and assignments.
- Detect and assist in resolving payroll discrepancies with management.
- Review payroll exception reports and prepare corresponding documentation.
- Maintain records with audit readiness for reconciliation activities.
- Coordinate logistics for employee training, onboarding, and familiarization processes.
- Maintain seniority lists and workforce data records.
- Support certification monitoring for Officers and Crew members.
- Assist in operational reporting and documentation tasks.
- Maintain records of training and safety compliance.
- Participate in mandatory training sessions and emergency drills.
- Identify administrative gaps that may present operational risks and escalate accordingly.
Qualifications and Competencies
- Post-secondary education preferred in Business, Operations Management, or related fields.
- Minimum of two years’ experience in administrative, coordination, or operational support roles.
- Experience working within a unionized environment is advantageous.
- Proficient with Microsoft Office applications, specifically Excel, Word, and Outlook.
- Familiarity with payroll or scheduling systems such as Payworks is beneficial.
- Strong skills in data tracking, reconciliation, and reporting.
- Excellent attention to detail and organizational capabilities.
- Ability to handle confidential information responsibly.
- Effective verbal and written communication skills.
- Capability to identify operational issues and escalate appropriately.
- Self-driven and able to work independently.
- Committed to fostering a robust safety culture.
Working Conditions
- Work locations include terminals, vessels, and office environments.
- Flexibility required to cover variable work hours, including mornings, evenings, and weekends.
- Job may involve standing, walking, and light physical activities.
Additional Requirements
- Completion of company-mandated training including WHMIS, Accessibility, and Workplace Harassment & Violence Prevention.
