Position Overview
The Project Manager will lead projects from inception through delivery, overseeing planning, resource allocation, and scope management for medium complexity accounts. You will ensure team alignment to deliver on time, on budget, and at a quality standard that exceeds expectations. This role supports client interactions and aligns closely with agency processes while collaborating with account and functional leads to meet performance goals and contribute positively to organizational culture.
Key Responsibilities
- Collaborate with Account teams to apply knowledge across various program types, technologies, and promotional channels, crafting innovative solutions that meet client objectives.
- Develop and maintain comprehensive project workplans at the program level, establishing project requirements, success metrics, and staffing plans in coordination with Resource Management.
- Create risk mitigation strategies including potential scenarios and solutions informed by project experience and identified uncertainties.
- Partner with functional leads to refine agency service delivery workflows and tools.
- Manage project execution, ensuring team accountability, adherence to SOPs, and quality control standards.
- Track and document project status and progress using tools to ensure alignment with workplans.
- Monitor resource capacity across projects and communicate gaps to resource managers.
- Proactively identify and resolve potential risks impacting quality, budget, or timelines by collaborating with relevant team members.
- Communicate scope or workplan changes internally and coordinate with Account for client notifications when necessary.
- Address execution issues jointly with Account leads, maintaining effective team communication and escalation where needed.
- Participate in client meetings to clarify execution tasks and processes, supporting client communication needs.
- Work alongside Account leads to define team communication protocols and enforce adherence.
- Standardize project documentation including scopes, plans, blueprints, definitions, and reporting tools.
- Collaborate with department heads to create transparent workflow plans and staff assignments supporting successful project delivery.
- Estimate project hours, fees, and costs using agency methodologies, providing clear justifications.
- Assist in negotiating budgets and amendments with Accounts to meet agency financial goals.
- Oversee staffing and expenditures to ensure actuals align with budgets and agency financial targets.
- Maintain timely financial reporting to Accounts and supervisors according to SOPs.
- Support management of scope changes and financial reconciliations with Accounts.
- Provide insights and perspectives on fiscal account management alongside Account leads.
Qualifications and Experience
- Minimum of 2 years project management experience, ideally within pharmaceutical advertising or medical communications.
- Proven expertise in managing project budgets, timelines, and resources effectively.
- Capability to onboard and mentor associates successfully.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to swiftly identify and resolve issues independently, demonstrating sound judgment and decision-making.
- High attention to detail with a commitment to quality deliverables.
- Adaptability and skill in managing multiple priorities concurrently.
Compensation and Benefits
The salary range for this role is between 70000 and 105000 CAD annually.
