Overview
The Project Assistant supports the Project Manager, Project Coordinator, Estimator, and Superintendent by managing documentation, daily tasks, and administrative duties to enhance project efficiency. This role is stationed in Edmonton, Alberta, with occasional site visits.
Key Responsibilities
- Collaborate closely with project leadership to reduce their involvement in routine taskwork.
- Prepare and price change orders and handle associated documentation.
- Manage submission and processing of submittals and Requests for Information (RFIs).
- Oversee document control and management to maintain organized project files.
- Draft meeting minutes, contracts, and correspondence promptly and accurately.
- Ensure thorough and timely project administration tasks including tracking and processing various project documents.
- Work with project team members and stakeholders to promote cost-efficient project delivery practices.
- Guide project personnel in understanding project administration procedures.
- Maintain clear communication with all stakeholders to keep them well-informed.
- Build and nurture relationships with clients, consultants, suppliers, and trades, both new and existing.
- Process subcontract agreements, ensuring compliance documentation such as bonds and insurance certificates are accurate and complete.
- Attend meetings, document discussions, and distribute minutes accordingly.
- Facilitate timely coordination and expediting of project information from various sources.
- Assist in preparing Operations and Maintenance Manuals and As-Built Drawings at project closeouts.

- Excellent proficiency with Microsoft Office applications including Word, Excel, and PowerPoint.
- Adaptable to evolving technologies, systems, and company procedures.

- Strong organizational, interpersonal, and analytical skills.
