About YouthBuild Global
YouthBuild Global serves as the central hub for the YouthBuild movement, collaborating with a widespread network of YouthBuild programs worldwide. These programs empower opportunity youth who are out of school and out of work by enabling them to reclaim their education, develop job skills and credentials, and grow as community leaders. YouthBuild Global offers training, technical assistance, capacity building, innovative program enhancements, leadership development, financial stability, and advocacy to support the entire movement.
Role Overview
The Program Operations Associate plays a multifaceted role supporting administrative and operational facets of the Program team. This role focuses on facilitating coordination across AmeriCorps and Department of Labor contracts, Network Engagement, grants management, and large organizational events. The position aims to enhance operational efficiency, synchronize efforts, and ensure successful execution of projects and initiatives.
Key Responsibilities
- Provide daily administrative and coordination support for various Program departments including DOL Program Impact, AmeriCorps, and Network Engagement.
- Monitor deliverables, deadlines, and milestones to assure timely completion of program objectives.
- Coordinate internal communications, meetings, and workflows to align efforts across teams.
- Maintain organized documentation, trackers, shared tools, and file systems to support seamless program operation.
- Assist with grant and contract-related administrative tasks and other operational priorities as required.
- Function as a liaison across Program teams to maintain priority and timeline alignment.
- Support onboarding processes, communication flows, and optimize cross-team workflows.
- Streamline recurring processes such as standups, dashboards, and quarterly meetings for improved efficiency.
- Manage shared systems including Microsoft 365 and other collaborative tools with a focus on workflow and documentation improvements.
- Support data collection and reporting related to program activities, ensuring accurate and consistent documentation.
- Coordinate logistics for in-person, hybrid, and virtual events, including scheduling, vendor management, materials preparation, and participant communication.
- Develop event run-of-show materials and manage event execution while tracking participation and follow-up activities.
- Utilize AI tools responsibly in line with organizational policies to improve efficiency, ensure confidential and appropriate use of AI-generated content, and share best practices.
Qualifications & Experience
- A minimum of 2 to 3 years experience in operations, coordination, administration, or program support.
- Demonstrated ability to support multiple teams and projects within dynamic, fast-paced settings.
- Strong organizational skills and exceptional attention to detail.
- Experience in event coordination, training facilitation, or convening support.
- Proficiency with Microsoft 365 and familiarity with collaboration and tracking technologies.
- Comfort and willingness to adapt to the evolving use of AI tools.

Physical Requirements
Occasional lifting of materials for events and convenings, along with periodic support for in-person meetings or travel-related logistics, may be necessary.

This Grade 2 role offers a salary ranging from $55,000 to $60,000 annually. Work Location
This position is available to work remotely or on a hybrid basis, accessible within specified U.S. states including Massachusetts, Maine, New Hampshire, New York, Washington DC, Maryland, North Carolina, South Carolina, Georgia, Florida, Wisconsin, California, and Texas, with an option for in-person work in Roxbury, MA.
