About the Role and Organization
The State of Oklahoma's Service Oklahoma unit strives to simplify citizens' interaction with government services by delivering top-tier customer experiences related to driving licenses and motor vehicle operations. As a Processing Specialist I, you will provide professional support related to state tax laws and agency protocols to ensure proper interpretation and compliance with regulations. Your role includes analyzing and addressing issues, assisting clients with policy applications, and contributing to the smooth functioning of the Motor Vehicle Division.
Key Responsibilities
- Sort, open, review, and process various forms preparing them for account posting.
- Verify payment accuracy against tax liabilities and arrange for proper deposit processing.
- Correct tax returns or relevant documents under established statutory and agency guidelines.
- Conduct account research to apply payments correctly and rectify return errors.
- Input remittance and return data into multiple databases and software platforms.
- Alert leadership about potential issues and suggest alternative workflows.
- Assist with employee training and share recommendations to improve procedures and efficiency.
- Operate and maintain mail handling equipment such as high-speed scanners and folder/inserters.
- Collaborate with vendors to guarantee timely and precise mail distribution.
- Maintain production schedules and prepare statistical and production reports.
- Help with inventory management and supplies tracking.
- Detect and resolve discrepancies in tax documentation and payments, ensuring correct processing and posting.
- Perform daily upkeep of scanning equipment and verify the quality and accuracy of digital images and data entries.
- Cross-train in other sections within the division as per agency requirements.
Required Knowledge, Skills, and Abilities
- Understanding of office procedures and record maintenance.
- Capability to build and maintain effective collaborative relationships.
- Good verbal and written communication skills adhering to instructions.
- Commitment to confidentiality and operational security.
- Research proficiency and detail-oriented data entry experience.
- Strong familiarity with Microsoft Office suite and computer applications.
Education and Experience Requirements
- Level I: Associate's degree in accounting, business, public administration, or closely related discipline; or equivalent education and experience.
- Level II: Associate's degree plus one year of related work such as bookkeeping, tax revenue, customer service, or equivalent experience.
- Level III: Associate's degree plus two years experience, or a bachelor's degree in relevant fields, or comparable combination.
Additional Preferences and Requirements
- Preference for candidates with experience in document imaging or environments involving processing and fast, accurate typing (~40 words per minute).
- This position does not require travel and operates in a comfortable office environment with significant computer use.
- Candidates must be able to stand for up to eight hours daily and occasionally lift 10-50 pounds with assistance.
Compensation and Benefits
The annual salary for this full-time position is $38,480. Service Oklahoma offers a comprehensive benefits package including a benefits allowance for medical, dental, vision, life, and disability insurance. There is a 7% matched Defined Contribution retirement plan, 11 paid holidays, 15 days paid annual leave that increases every 5 years, 15 days paid sick leave, and longevity payments based on years of state service.
