Role Overview
Draganfly Innovations Canada is seeking a full-time Human Resources Coordinator to assist the HR team in managing the complete employee lifecycle. This role involves supporting recruitment, onboarding, employee records management, HR information system administration, employee engagement initiatives, compliance, and overall HR operations. Reporting to the Human Resources Business Partner and collaborating with the HR Generalist and Executive Chief of Staff, this position ensures the seamless and confidential handling of HR processes for employees across Canada and the United States in a fast-paced, remote environment.
Key Responsibilities
- Oversee end-to-end recruitment activities including creating job postings, coordinating interviews, and conducting reference checks.
- Manage candidate communications to ensure a positive and professional recruitment experience.
- Facilitate new employee onboarding, prepare offer letters, collect necessary documents, and set up employee files and system access.
- Coordinate orientation schedules for new hires in cooperation with hiring managers and IT staff.
- Maintain up-to-date onboarding checklists, personnel files, and HR documentation.
- Collaborate with hiring managers to ensure timely completion of recruitment and onboarding tasks.
- Provide administrative support to maintain consistent hiring procedures.
- Maintain accurate and confidential employee records including new hires, changes in employment status, terminations, and updates to personal information.
- Assist with HRIS system administration such as data entry, updates, and enhancements.
- Perform periodic audits to verify the accuracy and compliance of employee records.
- Generate routine HR metrics reports on headcount, turnover, and related indicators.
- Prepare employment-related documents including employment letters, contract modifications, and offboarding paperwork.
- Support performance review processes by scheduling, tracking completion, and following up with managers.
- Help organize employee engagement programs, recognition initiatives, surveys, and internal communications.
- Manage HR SharePoint portal content, employee handbook, and policy libraries across jurisdictions.
- Respond to common employee queries on benefits, leave, and policies, escalating as necessary.
- Ensure compliance with employment standards in Canadian provinces and U.S. jurisdictions where the company operates.
- Participate in special projects and additional duties to optimize HR team operations.
Candidate Profile
- Highly organized and detail-focused with the ability to juggle various HR priorities without overlooking specifics.
- Maintains confidentiality and professionalism when handling sensitive employee and compensation information.
- Communicates effectively and professionally with employees, candidates, managers, and external partners.
- Capable of independent work in a remote setting, knowing when to seek guidance or escalate concerns.
- Adaptable to changing priorities within a dynamic, small company environment.
- Proficient with Microsoft 365 applications and comfortable learning HRIS, applicant tracking, and shared documentation systems.
- Demonstrates integrity, initiative, and a problem-solving attitude every day.
Qualifications
- Completion of a diploma or degree in Human Resources Management, Business Administration, Industrial Relations, or a related discipline.
- 1 to 3 years’ experience in an HR administrative or coordination capacity.
- Knowledge of Canadian and British Columbia employment legislation; familiarity with U.S. employment practices is advantageous.
- Strong skills in Microsoft Word, Excel, Outlook, and Teams.
- Experience or familiarity with HRIS tools such as Humi, BambooHR, ADP, or applicant tracking systems is a plus.
