About the Role

Delphi Care Solutions Ltd is expanding, establishing a new Business Operations Support division located in Stevenage SG1, operating from the office. Reporting to the HR & Finance Manager, the Head of Business Operations Support will play a pivotal leadership role to streamline operational governance across departments. This senior position focuses on ownership, coordination, and operational discipline to ensure tasks that cross multiple departments are executed consistently with clear documentation and accountability.

Key Responsibilities

  • Lead and nurture the Business Operations Support team, overseeing department growth and effectiveness.
  • Ensure comprehensive operational governance, coordination, and oversight across various departments.
  • Maintain detailed documentation, records management, audit preparedness, and compliance controls.
  • Manage the administration, coordination, and follow-up of all legal cases concerning Delphi, ensuring accurate record-keeping and timely reporting to senior management.
  • Assist financial operations encompassing credit control, debtor management, monitoring work in progress (WIP), and managing legal recovery processes.
  • Support HR processes with operational compliance, documentation, and procedural assistance.
  • Oversee GDPR, IT, systems, and business compliance coordination activities.
  • Manage office facilities, supplier relations, security measures, and operational services.
  • Track organizational actions, risks, and critical business follow-ups to ensure accountability completion.
  • Provide operational assistance to senior leadership to reduce their administrative workload and enhance efficiency.

Finance-Adjacent Support

  • Take charge of credit control and debtor follow-ups.
  • Maintain legal case trackers, deadlines, correspondence logs, and status updates for senior management review.
  • Monitor WIP and identify potential risks.
  • Compile and prepare relevant financial information to assist the Accounts department.

HR-Adjacent Support

  • Maintain HR records including training logs and compliance documents.
  • Support onboarding and exit procedures from a process perspective.
  • Manage policy documents with version control.
  • Ensure all staff requests adhere to defined processes and approvals.

GDPR, IT & Systems Coordination

  • Administer GDPR-related registers and logs.
  • Monitor Data Protection Impact Assessments (DPIAs) and handle compliance activities.
  • Serve as the liaison for outsourced IT services.
  • Maintain asset access and permissions logs.

Office & Internal Coordination

  • Manage company office spaces and facilities.
  • Coordinate access, security, and services provided by external vendors.
  • Oversee action tracking from management meetings and support senior leadership in operational follow-ups.

Qualifications & Experience

  • A minimum of 6 to 8 years' experience in operations, business support, governance, or finance-related roles.
  • Proven history of working effectively in growing multi-department organisations.
  • Excellent organisational capabilities, strong coordination skills, and rigorous follow-through.
  • Ability to confidently engage with senior stakeholders and external partners.
