Job description
Overview
The Facilities Coordinator role supports the Facilities and Estates Manager in maintaining a safe, clean, and welcoming environment across housing estates, apartment buildings, and communal areas in Dublin. The position involves a visible presence on-site to carry out and verify minor repairs, coordinate with contractors, and assist residents, ensuring a high standard of upkeep and security.
Key Responsibilities
- Maintain cleanliness of communal spaces such as entrances, stairwells, lifts, corridors, and shared facilities.
- Manage cleaning supplies and waste disposal, including recycling areas.
- Conduct regular inspections for maintenance, performing minor repairs like bulb replacement and drain unblocking.
- Report repair needs to the relevant teams and contractors, monitoring systems like lighting and heating within communal areas.
- Ensure the security of buildings by supervising access, checking doors, gates, entry systems, and conducting safety checks on fire equipment and emergency exits.
- Maintain outdoor areas including gardens, pathways, and play equipment, ensuring safe passage through snow, ice, or litter clearance.
- Serve as the initial contact for residents about communal maintenance concerns and coordinate effectively with contractors and inspectors.
- Document maintenance activities, safety inspections, incidents, and contractor performance accurately.
- Collaborate fully with fire drills and adhere strictly to health and safety policies set forth by the Employer and relevant authorities.
- Coordinate grounds maintenance contracts and perform gardening duties like lawn mowing and pruning where appropriate.
Boundaries and Guidelines
- Responsibilities are limited to communal areas; specialized repairs (e.g., plumbing, electrical) are handled by qualified contractors.
Health and Safety
All activities must be conducted safely, protecting both the coordinator and others, following the organization's health and safety policies.
