Role Overview
We are looking for a highly skilled Executive Assistant to provide comprehensive support to our CEO at Penta Group. This is more than a typical administrative role—it’s a strategic partnership position requiring professionalism, agility, and discretion. Responsibilities include managing complex schedules, arranging travel, and handling critical communications. The successful candidate will act as a trusted extension of the CEO, anticipating needs, streamlining processes, and aiding decision-making. Mastery of AI tools and a proactive approach to enhancing efficiency are essential. This is an opportunity to work closely with senior leadership in a fast-paced environment to contribute to the company’s strategic and operational goals.
Qualifications
- Over 7 years’ experience supporting C-suite executives, preferably CEOs, Founders, or Presidents in fast-moving professional services, consulting, or corporate settings
- Exemplary judgment, confidentiality, and integrity in managing sensitive information
- Strong executive presence and excellent written and verbal communication skills
- Proven ability to handle multiple priorities adeptly in dynamic contexts
- Technologically proficient with Microsoft Office, Google Workspace, Salesforce or equivalent CRMs
- Experience utilizing AI tools like ChatGPT, Claude, Copilot to automate and improve workflows
- Flexibility to adapt to CEO’s schedule, including occasional evenings, weekends, or travel
- Calmness and professionalism in high-pressure situations
- Strategic thinker with problem-solving abilities and a collaborative mindset
- Capacity to coordinate cross-functional teams and high-profile events seamlessly
Key Responsibilities
- Strategically manage the CEO’s calendar, resolving scheduling conflicts and prioritizing critical duties
- Arrange detailed domestic and international travel plans with contingency options and real-time adjustments
- Compile briefing materials, perform background research, and prepare presentation decks for meetings
- Handle expense reporting, reimbursements, and budget monitoring with accuracy
- Act as gatekeeper for CEO’s time and commitments, exercising careful prioritization
- Support scheduling for other C-level executives and ensure alignment across leadership
- Prepare essential documents including board presentations, proposals, and executive correspondence
- Assist in business development and client relations through research, meeting prep, and follow-up
- Maintain CRM data integrity and timeliness
- Interface with the Board, investors, senior leaders, and external partners with confidentiality
- Anticipate and proactively address CEO’s needs to maintain smooth operations
- Collaborate with cross-functional teams to implement strategic initiatives and priorities
- Lead organization of executive events, offsites, and high-visibility meetings including vendor management
- Mentor administrative staff and set standards for executive support excellence
- Manage one-off projects and assignments as delegated by the CEO
