The Role

This position offers senior-level administrative support to a C-suite leader and other members of Fanatics Corporate leadership. The role acts as a dependable partner in managing top priorities, organizing complex schedules, coordinating meetings, and handling sensitive information with professionalism and care.

The right person will be highly organized, ready to take initiative, and comfortable adapting in a fast-moving environment. Strong relationship-building skills and the ability to anticipate needs are essential for helping the team work efficiently.

Key Responsibilities

In this role, you will oversee executive support activities, manage calendars and meeting logistics, coordinate travel, prepare executive materials, and help keep departmental workflows running smoothly. You will also support internal communication, manage confidential information, assist with events and offsites, and step in to support other executive assistants when needed.

Detailed Responsibilities

  • Deliver end-to-end administrative support to the C-suite executive, including calendar coordination, meeting scheduling, and balancing urgent and competing priorities.
  • Arrange internal and external meetings, including leadership sessions as well as board and committee gatherings.
  • Handle domestic and international travel planning, covering itineraries, lodging, ground transport, and related arrangements.
  • Draft and organize agendas, presentations, reports, correspondence, and other executive-facing documents.
  • Submit and track expense reports, invoices, purchase requests, and similar administrative items promptly.
  • Keep records well organized, monitor deadlines and deliverables, and help manage administrative processes across the department.
  • Protect confidential business and employee information with discretion and good judgment.
  • Help coordinate team meetings, employee events, leadership offsites, and engagement activities.
  • Act as a responsive point of contact for internal and external stakeholders, ensuring professional and high-quality support.
  • Provide backup assistance to other Executive Assistants across Fanatics Corporate when required.
  • Contribute to special projects and other duties as assigned.

Qualifications

  • A high school diploma or equivalent is required; an associate degree or bachelor’s degree is preferred.
  • At least 5 years of executive administrative experience supporting senior leaders, ideally at the C-suite level.
  • Proven experience juggling multiple executive calendars, changing priorities, and overlapping deadlines in a dynamic setting.
  • Strong organizational ability, with careful attention to detail and accuracy.
  • Demonstrated judgment and a consistent ability to maintain confidentiality.
  • Excellent written, spoken, and interpersonal communication skills across all organizational levels.
