Job description
Role Overview
As a Contract Coordinator in our team based in Cambridge, Tasmania, you will be instrumental in supporting operational work delivery. Your responsibilities include managing requests for services involving traffic management and civil works, engaging relevant suppliers, and ensuring all activities meet business standards efficiently. Partnering closely with internal teams and contractors, you'll maintain strong supplier relationships and contribute to the smooth running of the Contract Delivery team.
Key Responsibilities
- Coordinate service requests related to traffic management and civil works by liaising with stakeholders and approved suppliers to organize necessary works, permits, approvals, and traffic plans.
- Handle financial transactions in SAP, including invoice processing and accurate record keeping to ensure budget adherence and timely payments.
- Maintain precise contract, supplier, and purchase order documentation, ensuring compliance and easy accessibility.
- Manage the shared inbox, addressing and prioritizing inquiries regarding suppliers, contracts, and operational matters.
- Provide essential administrative support such as organizing meetings, preparing agendas and minutes, and assisting with general documentation and reporting.

The ideal candidate is an organised planner with strong analytical abilities, adept at maintaining accurate data and documentation while ensuring policy compliance. They excel at collaborating with internal and external parties, managing multiple priorities, and adapting to evolving conditions in a dynamic setting.
Required Qualifications and Experience
- Certificate or Diploma in Business Administration or a related field, or equivalent relevant experience.
- Prior experience coordinating traffic management and/or civil works suppliers is highly regarded.
- Proven ability using SAP for data entry, maintenance, and tracking, complemented by advanced proficiency in Microsoft Excel and Word for reporting.
- Familiarity with Austroads guidelines and traffic management, civil construction, excavation standards, legislation, and safe-digging procedures including Before You Dig Australia (BYDA).
- Experience in invoice processing, creating purchase orders, and fostering supplier relationships in administrative or operational roles.
