Position Overview
We are looking for an experienced Contract Administrator to join our expanding team. This role is vital for ensuring smooth project execution by overseeing contracts, change orders, and compliance processes end-to-end. As the primary contact for all contract-related activities, you will collaborate with internal leaders, clients, legal advisors, and insurance personnel to keep all documentation accurate, well-organized, and completed promptly. The right candidate will be proactive, exceptionally organized, and communicate effectively to persistently follow up and resolve outstanding issues independently, ensuring nothing is overlooked from contract initiation through to completion.
Key Responsibilities
- Manage contracts with general contractors and vendors, ensuring accuracy, compliance, and proper documentation throughout each stage of the contract lifecycle.
- Track contract progress, distribute documents for review and signatures, and diligently follow up with both internal and external parties to guarantee timely completion.
- Maintain comprehensive and organized records to reduce delays, eliminate ambiguity, and provide leadership with a clear overview of all pending matters.
- Serve as the central contact for contract and compliance inquiries from internal teams and external stakeholders.
- Monitor and keep track of change orders from general contractors on active projects, proactively following up to prevent delays or cost overruns.
- Manage Owner-Controlled Insurance Program (OCIP) and Contractor-Controlled Insurance Program (CCIP) tasks, including subcontractor enrollment, tracking progress, and resolving outstanding insurance compliance items.
- Support project accounting by assisting with contract and insurance documentation management and ensuring projects are properly set up in the accounting system.
- Communicate regularly with leadership, clients, legal, and insurance teams regarding contract and compliance updates, participating in meetings and negotiation discussions as the contract administration representative.
- Ensure all records and documentation are organized, accurate, accessible, and audit-ready, flagging and resolving any missing or inconsistent information promptly.
Qualifications
- At least 3 years of relevant experience in contract administration, project coordination, or similar roles, preferably with a strong focus on contracts.
- Meticulous attention to detail with the ability to identify and rectify inconsistencies in contracts, compliance documents, and change orders.
- Excellent verbal and written communication skills, comfortable interacting professionally with leadership, clients, legal counsel, and insurance teams.
- Highly organized and proactive in following up, managing multiple deadlines, and tracking tasks efficiently.
- Proficiency in Microsoft Office Suite and Adobe Acrobat for daily contract management and correspondence.
- Self-motivated with the ability to take full ownership of responsibilities while collaborating effectively with others.
Preferred Experience
- Background in the construction sector, particularly with contract and compliance matters.
- Knowledge of OCIP and CCIP insurance program processes.
- Familiarity with CMiC or similar construction accounting and project management software.
- Experience using DocuSign or equivalent e-signature solutions for contract routing.
- Experience managing subcontractor compliance and insurance documentation.
Tools & Software
- Required: Microsoft Office Suite (Word, Excel, Outlook, Teams), Adobe Acrobat.
- Preferred: DocuSign, CMiC construction management software.
Additional Information
This is a full-time position offering up to $6 per hour, working fully remotely.
