About the Company and Role
Our client is a reputed and high-profile not-for-profit organization based in Melbourne's central business district. They offer a flexible hybrid work arrangement. This opportunity is for a Board Secretariat position, initially on contract with potential for permanent employment, commencing as soon as possible.
Role Responsibilities
The Board Secretariat will provide critical support to both the Board of Directors and senior leadership by delivering high-quality secretarial and governance services. Key duties include preparing agendas, assembling board packs, and documenting minutes for Board and committee meetings. Regular tasks encompass coordinating meeting schedules, managing correspondence and vital documents, maintaining statutory registers and governance records, and ensuring that board procedures comply with relevant regulatory and internal standards. The role also involves close liaison with board members and stakeholders, tracking progress on action items, following up on deadlines, and assisting with board reporting and compliance processes. Collaboration with executive leaders and administrative staff is essential to optimize board efficiency and provide dependable executive administrative support.
Qualifications and Skills
- Extensive experience in company secretarial and governance functions, including management of Board and committee meetings and maintenance of statutory records.
- Strong clerical and administrative proficiency, such as document control, scheduling, record-keeping, and keen attention to detail.
- Capability to deliver executive administrative support, including assisting senior management, preparing reports, and handling sensitive information confidentially.
- Excellent communication and interpersonal skills, with the ability to liaise professionally with stakeholders and provide responsive service to Board members.
- A tertiary qualification in business, law, management, or related fields; professional certifications in governance or company secretarial practice (like GIA or CGI) are highly valued.
- Experience liaising with Boards or executive committees, preferably within professional services, recruitment, or finance sectors.
- Strong organizational aptitude to manage competing priorities and proficiency in standard office software and digital collaboration platforms.
- Proven track record of working independently and collaboratively, especially in a hybrid work environment, while maintaining professionalism and confidentiality.
