Role Overview and Responsibilities
The Assistant to the Chairman supports the head in coordinating various daily tasks and ensures the effective implementation and supervision of assigned duties. This role requires tracking progress, managing milestones, reporting issues, offering optimization suggestions, and ensuring tasks are completed efficiently.
Key duties include organizing internal and external communications, managing and preparing meetings, streamlining workflows, and facilitating collaboration across departments to maintain smooth business operations. The role also involves assisting with business support activities, such as consolidating business data and materials to aid decision-making.
Administrative responsibilities encompass managing travel arrangements including flights and accommodations, organizing schedules, maintaining records, and standard administrative tasks to support office efficiency. Additionally, this position oversees daily living arrangements and logistics, ensuring a comfortable work and life environment.
Occasional ad hoc tasks as delegated by the Chairman will be undertaken.
Candidate Requirements
- Calm and stable personality with strong emotional management; detail-oriented, reliable, and cautious in handling work.
- Flexible thinking and strong problem-solving skills; capable of rapidly learning new business processes and adapting to evolving responsibilities.
- Excellent stress tolerance, capable of managing multiple tasks in a high-pressure, fast-paced environment with effective prioritization and strong execution and accountability.
- Outstanding organizational, communication, and supervisory capabilities; logical thinker, methodical, and able to close work loops efficiently; skilled in coordinating complex tasks and refining workflows.
- Language skills: Proficiency in German is a plus; English proficiency sufficient for daily communication and basic document work.
- Proficient in Microsoft Office and other office software; highly proactive, with a strong sense of confidentiality and professional integrity.
