Position Overview

As an Administrative Assistant reporting to the Director, Manager, or Lead, you will undertake essential clerical and administrative tasks for your assigned program or department. The role demands independent judgment and proactive decision-making regarding work priorities and unusual issues, ensuring alignment with the mission, vision, values, and policies of Southern Health-Santé Sud.

Key Responsibilities

  • Handle general administrative and clerical tasks that support the designated department.
  • Set work priorities and determine appropriate methods to complete duties independently.
  • Ensure confidentiality of sensitive information in both paper and electronic formats.
  • Maintain regular attendance, manage correspondence, and contribute positively to the workplace environment.
  • Travel occasionally to regional facilities as needed and work occasional evenings or weekends.

Required Qualifications and Experience

  • Minimum two years of clerical experience, preferably within a healthcare setting.
  • Completion of secondary education (Grade 12 or equivalent); a recognized administrative or secretarial program is preferred.
  • Proficiency in Microsoft Office suite (Word, Excel, Access, PowerPoint, Outlook, Teams).
  • Strong organizational, interpersonal, verbal, and written communication skills.
  • Demonstrated ability to work autonomously with initiative and sound judgment.
  • Capable of engaging respectfully with a culturally diverse population and maintaining confidentiality.
  • Possession of a valid Class 5 driver’s license, access to an insured vehicle, and liability insurance of at least $1,000,000.
  • Bilingual proficiency (English and French) is essential for designated positions serving French-speaking communities.
  • Successful completion of criminal record and abuse registry checks is mandatory.

Physical and Other Requirements

  • Ability to meet the physical and mental demands of the job without exposure to hazardous conditions.
  • Availability for occasional evening and weekend work, as well as travel within the region.
