Role Overview
This remote role is focused on coordinating support for families and students enrolled in a special education tutoring program. You will be the main day-to-day contact for families, helping maintain clear communication, organized scheduling, and dependable follow-through throughout the student journey. The job is heavily administrative and client-facing, so professionalism, empathy, and strong attention to detail are essential. You will work across several systems at once and help connect families, instructors, and internal teams so that sessions are delivered smoothly and student concerns are addressed in a timely way.
Key Accountabilities
- Act as the main contact for assigned families and build long-term trust through regular communication
- Run intake conversations with new families to understand needs and align expectations
- Handle complicated scheduling across students, instructors, and online platforms
- Keep families informed about progress, schedule changes, and concerns through phone, video, and email
- Track student progress and bring issues to the attention of specialists or instructors when needed
- Work closely with instructors so that sessions happen efficiently and without disruption
- Use several digital tools each day, including scheduling software, spreadsheets, and CRM systems
- Represent the organization professionally as the central link between families and service-delivery teams
Requirements
- Strong English communication skills, both spoken and written, along with excellent interpersonal ability
- Background in education, tutoring, or a school-based setting is necessary
- Experience in special education, including familiarity with IEPs or 504 plans, is highly desirable
- Previous exposure to customer service, account management, hospitality, or client success is beneficial
- Well-developed organizational skills and the ability to manage several priorities independently
- Comfort using Google Workspace, spreadsheets, scheduling systems, and CRM tools
- Ability to perform well in a fully remote setup with dependable internet and a professional workspace
- Professional judgment, emotional intelligence, and the confidence to manage sensitive or difficult discussions
- A bachelor’s degree is preferred, though it is not mandatory
- Bilingual English/Spanish ability would be an advantage
