About the Opportunity
Intell Global Group is hiring a high-calibre Senior Executive Assistant to work closely with the CEO in Dubai. The role is designed for someone who can provide strong executive support while also helping improve communication, organisation and day-to-day operational effectiveness across a growing international group.
This is a broader, more strategic role than a standard executive assistant position. In the beginning, the focus will be on dependable executive support. As you learn the business, your remit will expand and you will become a core part of the Office of the CEO, contributing to the systems, standards and processes that support the group's growth.
The company is not prioritising industry-specific background. What matters most is sharp organisation, sound judgement, excellent communication, initiative and a strong sense of ownership.

Role Purpose
The CEO's role spans leadership, people development, relationship building, opportunity creation and long-term growth. In a fast-growing business, leaders can easily become overloaded by reminders, follow-ups, document reviews and deadline chasing. This position exists to reduce that operational burden.
Your job is to keep executive priorities moving, make sure delegated work stays visible, coordinated and on track, and help the CEO spend more time leading the company rather than managing the details.
What You Will Do
Working directly with the CEO, you will act as the central coordination point for the Office of the CEO. You will keep communication clear, priorities organised, actions progressing and business standards improving. Whether the CEO is in the office or travelling internationally, you will help keep the business moving with professionalism and consistency.
Executive Support
- Take ownership of the CEO's inbox by sorting, prioritising and managing incoming messages.
- Write polished emails, correspondence and other executive communications.
- Organise the CEO's calendar, appointments, meetings and priority tasks.
- Arrange travel plans and other executive logistics.
- Prepare agendas, presentations and supporting material for meetings.
- Create short executive summaries that highlight key priorities, decisions needed and unresolved actions.
- Serve as the initial coordination contact for matters requiring the CEO's input.
- Safeguard the CEO's time by filtering and prioritising information appropriately.
Executive Coordination & Accountability
- Monitor action items assigned by the CEO and keep them moving forward.
- Coordinate follow-up activity across different departments.
- Track deadlines and commitments to ensure they are met.
- Follow up on reports, proposals, drawings, CRM updates and other important deliverables.
- Maintain clear action trackers showing what is pending and what has been completed.
- Support managers in meeting agreed responsibilities.
- Escalate issues that need executive attention or decisions.
- Keep critical actions visible until they are fully closed out.
Business Standards & Continuous Improvement
- Create and maintain Standard Operating Procedures (SOPs).
- Support the rollout of improved business processes.
- Help coordinate internal approval workflows.
- Contribute to document quality and presentation standards.
- Support proposal approval procedures, ensuring documents are reviewed by the relevant Project Manager and General Manager before release.
- Assist with CRM compliance and reporting discipline.
- Spot opportunities to improve efficiency, organisation and communication across the group.
Executive Reporting
- Prepare weekly operational summaries for the CEO.
- Compile sales and pipeline updates.
- Build KPI dashboards.
- Create reports tracking outstanding actions.
- Prepare executive-level presentations.
- Record and organise meeting minutes.
- Summarise business performance in a concise and professional format.
You will be expected to turn information from multiple teams into accurate, clear and well-presented reports that support faster and better decision-making.
Working Style
The CEO frequently travels within the UK, UAE and internationally. During these periods, you will be trusted to maintain momentum across executive priorities with minimal supervision. That means keeping communication moving, monitoring progress, following up on commitments, upholding standards and knowing when to decide independently, when to ask for guidance and when to escalate.
Success in this role is measured by how confidently you keep things progressing in the CEO's absence.

Essential Skills & Experience
- Prior experience supporting senior executives, founders or leadership teams.
- Excellent written and spoken English.
- Strong organisational and time management capability.
- Very good report writing and document preparation skills.
- Advanced Microsoft Office ability, especially Outlook, Word, Excel and PowerPoint.
- Strong communication and relationship-building skills.
- High integrity, discretion and professionalism.
- Good judgement and confidence to prioritise independently.
- Ability to juggle multiple priorities while maintaining a very high level of accuracy.
- Experience with CRM, ERP or other business management systems.
Industry-specific experience is not required. The company will provide the industry knowledge; the priority is finding an exceptional organiser, communicator and problem solver.
Desirable Experience
- Hands-on experience with Odoo ERP.
- Experience supporting a CEO or founder in a growing business.
- Experience creating or rolling out SOPs.
- Experience preparing executive dashboards and management reports.
- Experience coordinating across multiple departments or business units.
- Experience contributing to business process improvement initiatives.
