Role Overview

As a Scheduling Coordinator reporting to the Workforce Operations Manager, you will oversee and optimize the rostering of pharmacists, technicians, and managers throughout the McCabes Pharmacy network. Your responsibilities include ensuring proper coverage through coordinated scheduling of employed and locum pharmacists, addressing vacancies predominantly with in-house staff, and supporting cost-efficient workforce management. Collaborating with the Talent Acquisition team, you will also help evaluate and improve pharmacist recruitment and retention strategies.

This role offers flexibility with options for full-time or part-time hours.

Key Responsibilities

  • Create and maintain precise, efficient rosters for all team members and locum pharmacists across McCabes pharmacies nationwide.
  • Guarantee sufficient staffing and appropriate skill levels for all shifts.
  • Manage holiday requests and absences promptly and effectively.
  • Ensure all rostering practices comply with company policies, employment laws, and industry standards.
  • Engage with cross-functional stakeholders to understand and meet scheduling requirements, enhancing customer and colleague experiences.
  • Support pharmacist operating budget management by monitoring hourly rates, expenses, and working hours.
  • Identify cost-saving opportunities without compromising key performance indicators, providing weekly and monthly budget performance reports.
  • Pinpoint and prioritize vacancies that improve service quality and reduce expenses.
  • Collaborate closely with Talent Acquisition regarding relevant workforce changes.
  • Build and maintain strong relationships with locum agencies and internal pharmacists.

Required Qualifications and Skills

  • Previous experience with rostering, scheduling, or resource planning.
  • Strong analytical skills to interpret data and implement improvements.
  • Excellent organizational and time management skills, capable of juggling multiple tasks and meeting deadlines.
  • Effective communication and interpersonal abilities to liaise with diverse internal teams.
  • Proficient user of Microsoft Office applications including Excel, PowerPoint, and Word.

Desirable Attributes

  • Experience in community pharmacy, preferably as a manager or technician.
  • Familiarity with Pharmaceutical Society of Ireland (PSI) regulations, policies, and procedures.
