This role involves managing and maintaining our property portfolio to ensure safe, high-quality housing and exceptional customer service. Key duties include instructing and overseeing repairs, managing void properties, conducting inspections and surveys, keeping detailed records, and ensuring compliance with statutory regulations such as health and safety, fire, asbestos, and gas.

The Property Officer will collaborate closely with tenants, factored owners, staff, contractors, and external stakeholders to resolve property concerns, coordinate maintenance activities, support project goals, and foster continuous improvement in our property services.

About Us

We are a modest-sized organisation that makes significant contributions to the communities we serve. Our focus is on what benefits both our customers and colleagues, guided by values including teamwork, openness to change, respect, kindness, and social responsibility. We seek candidates who take pride in delivering excellent customer service, possess strong technical property knowledge, and exemplify our organisational values.

Key Responsibilities

  • Managing and coordinating repairs for tenants and factored owners, including undertaking void works, to meet key performance indicators.
  • Conducting inspections, risk assessments, and stock condition surveys while accurately recording data and prioritising follow-up work.
  • Ensuring adherence to statutory compliance standards such as health and safety, fire, asbestos, and gas regulations within the property portfolio.
  • Working with contractors, consultants, suppliers, and external agencies to organise work, supervise progress, and verify outcomes effectively.
  • Maintaining comprehensive asset and repair documentation, processing invoices, and entering accurate financial data into systems.
  • Providing clear guidance and resolution for routine and moderately complex property issues, managing first-level complaints, and escalating critical matters as needed.

Candidate Requirements

  • HND qualification in a building-related discipline or comparable relevant experience.
  • Extensive experience managing a property portfolio and coordinating related activities across multiple departments.
  • Proven expertise in repairs management, voids handling, property inspections, risk assessments, stock surveys, and ensuring statutory compliance.
  • Strong knowledge of contractor coordination, asset record management, invoice reconciliation, financial data entry, and safe work practices.
  • Excellent communication, organisational abilities, and IT proficiency, with the capacity to handle a diverse workload under pressure.
  • Possession of a full UK driving licence, access to a vehicle for work use, capability to perform lone working, use personal protective equipment, and manage physical tasks such as carrying ladders.

Benefits and Working Conditions

  • Salary: £48,595 per annum.
  • Working hours: 36 hours per week, Monday to Friday.
  • Option for a nine-day fortnight, allowing every alternate Friday off.
  • Hybrid working arrangement requiring at least two days in the office weekly.
  • Office location in Livingston.
  • Engaging, varied role across property repairs, inspections, compliance, and asset management.
  • Opportunities to collaborate throughout the organisation and with external partners to achieve positive outcomes.
  • A rewarding position contributing to the upkeep of safe homes, cohesive communities, and excellent customer support.
  • Work/life balance emphasis, with access to online health and wellbeing services.
  • Subsidised gym membership and a pension scheme with a 10% employer contribution effective from day one.
