Role Overview
Buildforth by Paradigm is seeking a Project Coordinator to manage construction projects from planning through delivery, handover, and warranty phases. This role involves keeping project data precise, managing outstanding tasks, and assisting teams, clients, and homeowners throughout each phase.
Work Environment and Schedule
- This is a Monday-to-Friday position with some scheduling flexibility depending on project needs.
- Frequent travel within British Columbia to various active and completed project sites is required.
- Work locations may include construction sites, company or project offices, and occasional approved remote work.
Core Responsibilities
- Assist with project planning, scheduling, execution, reporting, and closeout activities.
- Maintain organized project documentation such as contracts, drawings, RFIs, submittals, change orders, permits, insurance, and compliance records.
- Coordinate meetings including preparing agendas, recording minutes, and tracking milestones, risks, deadlines, and action items.
- Ensure site teams and partners have access to current drawings, schedules, and specifications.
- Manage coordination of suppliers, subcontractors, shipments, and material deliveries as necessary.
- Prepare handover and closeout documentation including manuals, warranty forms, occupancy documents, and inspection records.
- Identify, document, and track deficiencies through resolution.
- Handle homeowner and client warranty requests, collecting information and developing practical action plans.
- Schedule warranty inspections and coordinate service visits involving homeowners, clients, tradespeople, suppliers, and site staff.
- Maintain detailed records of warranty communications, actions taken, costs, and resolutions.
- Attend site walks, inspections, handover meetings, and service calls, documenting findings and required follow-up activities.
- Monitor recurring warranty concerns and report on trends, response times, and resolution progress for continuous improvement.
- Support quality control efforts and, if qualified, assist with minor repairs or construction tasks related to service or scope issues.
- Adhere to all safety protocols and ensure work areas remain safe, clean, and organized.
Candidate Qualifications
- Experience in construction project coordination, site administration, warranty service, carpentry, or related fields.
- Familiarity with construction workflows, documentation including drawings, specifications, handover, and warranty management.
- Excellent organization and ability to juggle multiple priorities, deadlines, and service requests.
- Strong communication skills, both written and verbal, with professional customer service aptitude and effective problem-solving ability.
- Proficiency with Microsoft Office and project or construction management software such as Procore or MS Project.
- Valid driver’s license and reliable transportation for travel to job sites.
- Hands-on knowledge of construction or carpentry, comfort using hand and power tools, and relevant safety certifications are beneficial.
- Capability to work safely in active construction environments, managing noise, dust, uneven terrain, weather conditions, and utilizing personal protective equipment.
