Role Summary
We are looking for a driven Project Administrator to support daily operations and project activities across Australia and New Zealand. Embedded within the PMO team, this role works directly with Project Managers, delivering full administrative support and assisting with resource planning.
Key Responsibilities
- Deliver comprehensive project administration support ensuring smooth project governance and control.
- Assist Project Managers with invoicing processes, following up on outstanding debts, monitoring timesheets for timely submission, managing expense claims linked to billable projects, and other relevant support tasks.
- Manage and update the Customer Relationship Management (CRM) system throughout the project's lifecycle.
- Ensure critical project documentation such as go/no-go decisions, signed proposals, contracts, purchase orders, and variations are properly executed and archived.
- Support resource planning activities, maintaining accurate data across all projects within the Project Admin Portfolio.
- Prepare reports and document minutes for project progress reviews, activities, and deliverables using CRM and other systems.
- Provide general administrative assistance as necessary.
Qualifications & Requirements
- Legal eligibility to work full-time in Australia or New Zealand.
- Proven experience in a similar administrative role supporting technical or digital projects, preferably within professional services or consultancy sectors.
- Familiarity with project management methodologies.
- Proficient IT skills, particularly advanced use of Microsoft Office Suite.
- Ability to operate independently with minimal supervision.
- Strong attention to detail in all tasks.
- Excellent verbal and written communication abilities.
- Effective organizational, prioritization, and time management skills.
- Good commercial awareness.
