Job Overview

The Procurement Coordinator role is focused on offering administrative, document control, contract management, reporting, and coordination assistance to the procurement department and projects. This position collaborates closely with internal project teams, procurement specialists, construction management, suppliers, subcontractors, and external clients to ensure accurate documentation, support procurement controls, manage contract and compliance paperwork, and promote consistent, organized, and quality-driven procurement project execution.

Key Responsibilities

  • Deliver administrative assistance for procurement initiatives including project initiation, status reporting, meeting arrangements, tracking of action items, and maintaining comprehensive project records.
  • Oversee document control procedures such as submittal tracking, managing electronic turnover packages, organizing controlled documents, and ensuring latest version accuracy.
  • Assist in project controls and reporting functions including updating resource plans, preparing project status reports, maintaining procurement logs, contract trackers, and other performance documentation.
  • Help administer contracts by managing NDA coordination, tracking certificates of insurance, handling performance bonds, organizing contract files, and ensuring compliance documentation is accurate and complete.
  • Coordinate efforts with internal and external parties to facilitate supplier and subcontractor prequalification, onboarding paperwork, and procurement-related administrative support.
  • Support purchase order processing, bidding, and buy-out tasks through meticulous record keeping, routing, and documentation coordination.
  • Contribute to continuous improvement projects including mapping processes, standardizing templates, documenting workflows, and adopting best practices in project administration.

Qualifications

  • Bachelor’s degree in Engineering, Business Administration, Project Management, Construction Management or equivalent experience preferred.
  • Up to three years of relevant experience supporting capital projects, construction administration, project controls, procurement, or document control within construction, engineering, design services, life sciences, or similar regulated industries.
  • Experience with project administration software, electronic RFP tools, purchase order systems, document control platforms, and reporting tools favored; familiarity with D365, Building Connected, or similar platforms is advantageous.
  • Preferred background includes involvement with capital projects in life sciences, food and beverage, advanced manufacturing, or other strictly regulated sectors.
  • Excellent organizational abilities with aptitude to prioritize multiple deadlines, monitor action items, and maintain precise project data.
  • Strong proficiency in Excel, data analysis, data entry, and reporting, paying close attention to detail and accuracy.
  • Capable of establishing effective working relationships with cross-functional teams, procurement personnel, suppliers, subcontractors, and clients.
  • Motivated by high standards of quality, compliance, process discipline, and proactive risk management.
