Marketing / Proposal Coordinator

Role overview

H&H is looking for a Marketing / Proposal Coordinator to join a busy, fast-moving team. This is a broad marketing role with responsibilities across proposal development, business development support, and marketing coordination. The opportunity is available across multiple H&H office locations.

Key responsibilities

The coordinator will own proposal production tasks, support pursuit strategy, and help maintain the marketing resources needed for submissions and presentations. The role also includes keeping track of solicitation opportunities and supporting business development activity in the assigned region.

Proposal coordination

• Take charge of proposal production and coordination duties as assigned.
• Create and manage proposal timelines and compliance tracking tools.
• Run local proposal development, review, and debrief meetings.
• Support major pursuits, including key national opportunities.
• Help shape targeted messaging, win themes, and differentiating points.
• Research staff credentials, company experience, and prior proposal content.
• Build and maintain a repository of materials required for proposal submissions.
• Maintain regional proposal assets such as resumes and project write-ups.
• Organize and standardize content used for presentations.
• Regularly monitor websites for newly advertised solicitations.
• Prepare and submit prequalification packages.

Business development support

• Assist with client management programs, industry participation, and related business development initiatives.
• Track current and upcoming solicitations from clients in the assigned region.
• Maintain opportunity, client, and contact records in the company database (Vision).

Requirements

• Associate degree or bachelor’s degree from an accredited college or university.
• At least 3 years of proposal development experience in the A/E/C industry is strongly preferred.
• Strong writing and editing skills, with the ability to work independently.
• Interest in learning about the engineering industry and a willingness to continue training and education.
• Ability to collaborate effectively with a varied marketing team in a team-oriented environment.
• Familiarity with SF330, SF255, and similar state or federal form requirements is preferred.
• Experience using Microsoft Office and InDesign; knowledge of Illustrator and Photoshop is preferred.

Compensation and benefits

Pay will be based on experience. For applicants in New York, New Jersey, and Colorado, the annual salary range is $70,000 to $90,000. The company also offers a professional workplace, a competitive salary, benefits, and a 401(k) plan.
