Role Overview
The Maintenance Planner supports the Facility Maintenance Manager, Specialists, and Operations Maintenance Technicians in overseeing day-to-day operations of the maintenance department. Key tasks include managing work orders, purchase orders across various systems, vendor communications, inventory management, reporting via CMMS, and maintaining compliance with documentation standards.
Key Responsibilities
- Prepare, complete, and process work order forms; secure management approval and collaborate with technicians and vendors to rectify issues through various communication modes including in-person, phone, fax, and email.
- Generate and manage contract and purchase order documents for approvals; monitor delivery status and liaise with vendors to address any discrepancies.
- Administer workflow procedures and handle data entry and retrieval through customized queries and reports in the Computerized Maintenance Management System (CMMS).
- Supervise parts inventory including organizing physical stock movements and barcode management.
- Conduct research to identify cost-effective and high-quality procurement options aligned with departmental priorities and critical needs.
- Monitor expenditures against budget utilizing contract and payment tracking ledgers.
- Ensure maintenance of contract, budgetary, and safety documentation compliant with retention policies.
- Provide training and orientation to new maintenance staff both locally and regionally when required.
Requirements
- Completed technical apprenticeship.
- Minimum of four years of experience supporting equipment maintenance and repair with knowledge of preventive and corrective maintenance procedures.
- Familiarity with company protocols and operational procedures.
- Proficiency in business basics such as typing, data entry, telephone, copier, and fax use.
- Excellent time management, organizational, and multitasking capabilities in a dynamic, fast-paced setting, ensuring accuracy and attention to detail in task execution.
- Competency in Microsoft Office suite and web-based applications.
- Experience operating IBM Maximo software.
- Strong customer service skills for professional interaction with stakeholders.
- Ability to document meeting outcomes, action plans, and task assignments accurately on behalf of the maintenance team.
- Skills in budget management and inventory analysis.
