Overview

The Human Resources Administrator serves as an entry-level administrative support professional within the HR department. This role involves providing clerical assistance and operational help while supporting various HR processes for employees across the organization. It demands excellent organizational abilities, strict confidentiality, and multitasking skills suitable for a dynamic work setting.

Primary Responsibilities

  • Deliver clerical and administrative aid to the Human Resources team.
  • Manage new hire documentation and maintain precise employee records.
  • Assemble and distribute welcome materials for new employees.
  • Coordinate and monitor pre-employment drug screenings and background verifications.
  • Prepare and send out cards or certificates recognizing employee birthdays and work anniversaries.
  • Produce reports on new hires and handle necessary updates.
  • Organize personnel files, including I-9 forms, EEO documents, and other HR records.
  • Administer benefits related to temporary staff as needed.
  • Update and maintain the organization's phone directory.
  • Respond to employee questions via face-to-face interaction, phone, or email.
  • Manage termination procedures ensuring all related paperwork is collected and processed.
  • Maintain and update HR-related spreadsheets and data.
  • Monitor attendance and paid time off records across all company locations.
  • Collaborate with Payroll and Accounting to process payroll for permanent employees.
  • Cross-train and assist with additional HR tasks as required.

Qualifications and Skills

  • Possession of a high school diploma or equivalent.
  • At least one year of experience in customer service or related business roles.
  • Familiarity with common office administrative procedures and best practices.
  • Competent organizational, problem solving, and time management capabilities.
  • Ability to prioritize responsibilities in a fast-paced environment effectively.
  • Excellent communication skills, both verbal and written.
  • Proficient in computer usage and telephone communication.
  • Strong commitment to maintaining confidentiality at all times.
  • Comfort with public speaking.
  • Team oriented, calm under pressure, cooperative, and capable of working independently.
  • Consistently meets deadlines.
