Job description

Overview

The Human Capital Officer plays a crucial role in managing the daily activities within the Human Capital (HR) department. The position aims to enhance organizational workforce value by supporting recruitment, fostering employee relations, facilitating performance management, overseeing training development, and ensuring adherence to labor laws. Serving as a liaison between leadership and staff, the officer contributes to cultivating a positive, efficient, and inclusive workplace culture.

Key Duties and Responsibilities

  • Assist in the recruitment cycle including creating job descriptions, advertising roles, screening candidates, and arranging interviews.
  • Conduct preliminary HR interviews and manage background and reference checks.
  • Oversee smooth onboarding processes for new employees, providing necessary orientation, training, and resources.
  • Act as the primary contact for employee questions about company policies, procedures, and benefits.
  • Drive employee engagement through initiatives such as surveys, team-building, and feedback mechanisms.
  • Help resolve minor employee disputes and grievances confidentially and fairly.
  • Support annual performance appraisal procedures and advise managers and staff in setting performance targets and KPIs.
  • Maintain accurate performance review records and development plans.
  • Identify training needs in collaboration with department heads, organise training sessions and professional development opportunities.
  • Monitor training budgets and assess training effectiveness.
  • Manage confidential employee records in both electronic and physical formats.
  • Ensure compliance with local labor legislation, health and safety standards, and company policies.
  • Assist in generating HR reports and metrics for payroll and attendance processing.
  • Guide employees on disciplinary processes and ensure compliance to prevent workplace conflict.
  • Maintain disciplinary documentation and reporting.
  • Conduct exit interviews and liaise with departments to manage employee offboarding activities appropriately.
  • Promote staff wellness by organising fitness programs and coordinating access to medical schemes.

Qualifications and Experience

  • Completion of Full Grade 12 certificate.
  • Bachelor’s degree in Human Resource Management, Business Administration, Public Administration, or related discipline.
  • Membership with the Zambia Institute of Human Resource Management.
  • At least 3 years of relevant experience, including 3 years in a similar HR position.

Skills and Competencies

  • In-depth knowledge of local labor laws, statutory regulations, and HR best practices.
  • Strong analytical and innovative problem-solving capabilities.
  • Excellent interpersonal and relationship-building skills.
  • Proficiency in data analytics related to HR.
  • Outstanding communication and active listening skills to build trust at all organizational levels.
  • Effective conflict resolution skills handled with diplomacy and empathy.
  • Strong organizational and time management skills, capable of juggling multiple priorities.
  • Technical knowledge of HR Information Systems, Sage 300 People, Applicant Tracking Systems, Microsoft Office Suite, and Google Workspace.
